About the Role
We're looking for a proven manager and leader to take ownership of our Philippines-based admin team and the wider administrative engine that keeps SuperWellness running smoothly. You'll directly manage members of the admin team, refine and streamline the processes they work to, and bring together business administration, team administration, and the administrative side of the client journey.
This is a leadership role from day one — we're looking for someone who already has proven management experience. We need someone confident and proactive: someone who spots what needs attention before it becomes a problem, brings their own judgement to how things should be done, and isn't afraid to challenge an existing process if there's a better way.
Key Responsibilities
Team Leadership
? Directly manage members of the admin team — regular catch-up meetings and hands-on admin support.
? Gain a good, in-depth understanding of processes — essential in order to manage the team's workloads, support them where needed, and see where improvements can be made.
? Conduct quarterly and annual performance reviews.
? Monitor workload and help prioritise tasks to ensure optimal resourcing across the admin team.
? Provide feedback, guidance and support where required.
? Be an outspoken member of the management team — offering new ideas and solutions, and challenging the status quo.
? Ensure alignment with business goals across the admin team, and encourage the team to think about the bigger picture — how their work is moving the needle for the business.
? Own the team onboarding / offboarding process, and organise any necessary training.
Business Administration
? Review, streamline and refine existing processes and procedures to reduce unnecessary steps and improve efficiency.
? Keep processes up to date and ensure they are implemented team-wide through the SOP and FAQ documents.
? Maintain the cost matrix, tracking all recurring costs, and keep the equipment list up to date.
? Event administration: team hotel bookings, venue bookings, and tradeshow logistics.
? Overall responsibility for enquiry inbox management by the admin team.
? Take overall responsibility for effective credit control, acting as the escalation point when the admin team's follow-ups haven't resolved an outstanding payment.
Team Administration
? Manage payments to our Philippines-based tea
? Process expense payments to the internal team.
? Manage the facilitator team, including onboarding, invoice payments, compliance, queries and quality issues.
Commercial Administration
? Highlight opportunities to improve the client experience through better processes or new ideas.
? Send and collate 6-month client surveys and offboarding surveys, and share useful insights — survey feedback and facilitator feedback — with the wider team.
? Support the Catalyst programme — speaker contracts, content reminders, checking slide decks, and hosting/supporting external speaker sessions.
? Coordinate monthly content — liaising with facilitators, amending articles/recipes, proofing posters and webinar captions, and sending the
? Manage the renewal process for recurring memberships.
? Complete supplier registrations.
What We're Looking For
? Proven track record in an administration/operations management role, including direct people management — comfortable providing feedback that recognises good work as well as helping people develop and reach their full potential.
? Proactive — comfortable making decisions without close supervision, flagging issues before they escalate, and putting forward improvements rather than waiting to be asked.
? Confident and outspoken — comfortable presenting team updates, putting forward new ideas, and having sensitive conversations, including addressing issues and providing constructive feedback.
? Highly organised — juggling multiple workstreams, people, and deadlines without things slipping through the cracks is second nature to you.
? Background in a smaller or growing business rather than a large corporate or BPO environment — used to wearing multiple hats and getting stuck in, rather than operating within a narrow, specialised remit.
? Good understanding of what's required for the business, and comfortable working in a small team environment where everyone rolls up their sleeves and brings a sense of urgency when needed.
? Thrives on variety and comfortable with change, as the business evolves constantly in response to market demands.
? Fully fluent in English, with excellent written communication.
? Comfortable liaising directly and confidently with facilitators, clients, and senior stakeholders, representing the company professionally.
? A natural process-improver, always looking for a better, more efficient way of doing things.

? You'll be taking on genuine ownership of the admin function and the team within it, with real scope to shape how it's run.
Salary & Benefits
? $1,200–$1,500 per month, depending on experience.
? Quarterly profit-related bonus, tied to your personal KPIs as well as overall company performance.
