Overview
- We are seeking a highly organized and detail-oriented Sales Admin Assistant with deep
GoHighLevel (GHL) expertise to support our sales operations during and after an agency
transition. This role is critical to maintaining continuity in our CRM, automations, pipelines, and
reporting—and will progressively take over key operational and administrative tasks currently
handled by the business owner.
- This is not an entry-level admin role. The ideal candidate is proactive, technically confident in
GHL, and capable of owning systems end-to-end with minimal supervision.
Key Responsibilities:
GoHighLevel (Primary Focus)
- Fully manage and maintain our GoHighLevel account during and after agency transition
- Build, edit, and troubleshoot:
? Pipelines and stages
? Automations and workflows
? Triggers, campaigns, and sequences
? Forms, calendars, tags, and custom fields
- Monitor CRM data accuracy (contacts, opportunities, deal stages)
- Identify and fix automation errors, broken workflows, or data inconsistencies
- Coordinate with external agencies or vendors as needed during the transition
- Ensure best practices in GHL usage, documentation, and organization
Sales & Admin Support
- Manage sales pipelines and ensure deals are updated correctly
- Prepare sales reports, dashboards, and summaries for leadership
- Handle lead assignment, follow-ups, and internal notifications
- Maintain SOPs and documentation for sales and CRM processes
- Support onboarding of new sales tea
Executive Task Takeover
- Gradually take over operational and administrative tasks currently handled by the owner,
including:
? CRM management and optimization
? Sales reporting and performance tracking
? System cleanup and process improvements
- Anticipate needs and proactively recommend efficiency improvements
- Act as the “owner” of sales systems so leadership can focus on strategy
Required Qualifications
- Strong, hands-on experience with GoHighLevel (GHL) — this is mandatory
- Proven experience supporting sales teams or sales operations
- High attention to detail and strong organizational skills
- Ability to work independently and manage multiple priorities
- Comfortable taking ownership and making system-level decisions
- Strong written and verbal communication skills
Preferred Qualifications
- Experience working with agencies or during CRM/platform transitions
- Background in sales operations, CRM administration, or revenue operations
- Familiarity with
