Position Overview
We are seeking an experienced Accounting & Payroll Specialist to manage all accounting and payroll operations for our growing practice. The ideal candidate has demonstrated expertise in law firm accounting practices, trust account management, and multi-jurisdiction payroll processing. You will be responsible for maintaining financial accuracy, compliance, and seamless payroll execution across multiple employee and contractor categories.
Required Qualifications
1. Minimum 3+ years of accounting and payroll experience in a law firm — required
2. Hands-on experience with QuickBooks, Gusto, and Clio Manage
3. Proven ability to perform three-way reconciliations across accounting software, bank statements, and trust accounting platforms
4. Experience managing law firm trust accounts and operating account reconciliations
5. Knowledge of multiple payroll structures (W2 employees, 1099 contractors, offshore contractors)
6. Strong understanding of benefits administration including 401(k), medical plans, and retirement accounts
7. Highly organized with the ability to manage multiple accounting tasks and compliance deadlines simultaneously
8. Reliable internet connection and home office setup for remote work
Preferred Qualifications
1. 5+ years of accounting and bookkeeping experience
2. Prior experience with US-based law firms
3. Familiarity with Clio Manage software
4. Experience with offshore contractor payroll and compliance
5. Knowledge of multi-jurisdiction payroll requirements
6. Bookkeeping certification or accounting degree
7. Experience with benefits platforms (Fidelity, EASE, Covered California)
8. Prior work with law firms or agencies that support law firms
Key Responsibilities
1. Process and record all law firm accounting transactions in QuickBooks and accounting systems
2. Manage trust account and operating account reconciliations on a regular basis
3. Perform three-way reconciliations across Clio Manage (or applicable practice management system), QuickBooks, and bank statements
4. Ensure compliance with IOLTA requirements and applicable law firm accounting regulations
5. Process payroll using Gusto for all employee categories including W2 employees, 1099 contractors, and offshore contractors
6. Administer and maintain employee benefits programs including Fidelity, EASE, Covered Canada, 401(k) plans, and medical benefits
7. Manage benefits enrollment, changes, plan documentation, and serve as liaison between employees and benefits providers
8. Communicate professionally with bank representatives, benefits providers, payroll vendors, and staff regarding accounting and payroll matters
9. Maintain accurate financial records and prepare accounting reports as requested by management
10. Ensure timely and accurate payroll processing, withholding, deductions, and payments
11. Track and organize compliance documentation, tax filings, and deadline alerts related to payroll and benefits
12. File payroll tax returns and benefits compliance documentation as required by federal, state, and local regulations
13. Draft and review accounting and payroll documentation; ensure accurate record-keeping and contemporaneous documentation of all transactions
14. Prepare and deliver monthly accounting reports including trust account reports, profit and loss statements, and balance sheets
15. Analyze monthly financial reports and identify discrepancies or areas requiring attention
