About the role
We're a group of independent companies — including data-driven direct mail and real estate consulting and investment — looking for a sharp, self-directed Accounting Operations Specialist to own our day-to-day financial operations. You'll be the person who keeps the books clean, the reconciliations current, and the reporting accurate, working closely with various departments and leadership across our portfolio.
This role is high-trust and high-visibility. You'll work with real numbers that drive real decisions, with direct access to leadership and the autonomy to build and improve the processes you own. Working hours : 9AM CDT to 6PM CDT (one hour lunch).

What you'll do
• Manage daily bookkeeping across multiple business entities, including transaction entry, receipt review, and accounts receivable (A/R) monitoring
• Process accounts payable (A/P), record sales, refunds, expenses, and payroll, and reconcile across entities
• Maintain accurate, audit-ready records in QuickBooks Online and supporting systems (including Airtable)
• Monitor and resolve Stripe payment disputes and follow up on unpaid accounts
• Perform monthly bank, credit card, and account reconciliations — consistently hitting close deadlines
• Track intercompany balances, loan payments, and member distributions
• Maintain financial reports and supporting spreadsheets; flag discrepancies proactively
• Support month-end close with timely, accurate data across all entities

What success looks like
Within 90 days, you're running the monthly close independently, reconciliations are current, and any A/R aging issues have a clear resolution path. By six months, you've identified at least one process improvement that saves time or reduces error.

Required qualifications
• 2+ years of bookkeeping or accounting operations experience
• Strong, hands-on proficiency with QuickBooks Online
• Demonstrated ability to manage multiple entities or accounts simultaneously
• Excellent organizational skills and attention to detail — you catch things others miss
• Comfortable with cloud-based tools and digital workflows
• Clear written communication skills, including professional A/R follow-up correspondence
