JOB OVERVIEW

Location: Remote (Full-time)
Compensation: $400 – $500 USD / month (DOE)
Schedule: 40 hours/week (overlapping with CET working hours)

Role Overview

We are looking for a detail-oriented, highly organized Accounting & Operations Assistant to support our day-to-day bookkeeping, invoice management, and financial workflows. In this role, you will leverage modern AI productivity tools to streamline data reconciliation, documentation, and routine reporting.

Key Responsibilities

-Bookkeeping & Invoice Processing: Match, organize, and record incoming/outgoing supplier invoices, receipts, and customer payments.
-Account Reconciliation: Reconcile bank feeds, payment gateways, and balance accounts systematically.
-AI & Workflow Automation: Utilize AI tools (e.g., ChatGPT, Claude, OCR data extraction tools) to speed up invoice categorization, error-checking, and report generation.
-Documentation & Filing: Maintain digital financial records, receipts, and audit trails.
-Reporting Assistance: Prepare weekly and monthly cash flow, expense summaries, and preliminary financial overviews for management.

Requirements

-Tech & AI Savvy: Daily hands-on experience using modern AI tools and automations to optimize routine tasks.
-Extreme Attention to Detail: High standard for accuracy, structured documentation, and deadline management.
-English Proficiency: Excellent written and verbal communication skills.
-Home Office Setup: Reliable high-speed internet, backup power/connection, and a secure workstation.

Preferred Qualifications (Nice-to-Have)

-Prior experience with Swedish accounting practices (e.g., standard chart of accounts / BAS-kontoplan, VAT/Moms tracking).
-Hands-on experience with cloud ERP/accounting platforms (e.g., Fortnox, Bokio, Visma, Xero, or QuickBooks).
