Accounting Manager / Controller (U.S. Accounting)
Full-Time | Remote, Philippines | Long-Term Career Opportunity
Salary: Competitive, based on experience and qualifications
Schedule: Flexible, with availability for meetings with our U.S. team
About Our Company
Promofect is a growing U.S.-based company with approximately $2+ million in annual
revenue. We specialize in custom branded apparel, promotional products, and online
merchandise stores.
We operate through two brands, Promofect and New York Rush Shirts, serving
customers ranging from small businesses to large organizations. Our business
combines B2B sales, e-commerce, in-house production, and outsourced manufacturing.
We're looking for an experienced accounting professional who can take ownership of
our accounting operations, improve our financial systems, and help us build a stronger
foundation for continued growth.
About the Opportunity
Currently, our accounting and finance functions are managed directly by the company
owner, who has a professional background in accounting and finance.
We're looking for someone who can take over the day-to-day accounting
responsibilities, maintain accurate financial records, develop better reporting, and
continuously improve our processes.
The owner will continue overseeing higher-level financial strategy, but we want
someone who can independently manage the accounting function without requiring
constant supervision or technical accounting guidance.
We can teach you our business. We expect you to already know accounting.
We're not a large corporation with separate departments for every function. At our
current size, this position requires someone comfortable wearing multiple hats, handling
both detailed accounting work and broader financial projects.
As the company grows, some responsibilities may transition to additional team
members. The right candidate will have the opportunity to help build the systems,
procedures, and team that support a much larger business.
Key Responsibilities
1. Accounting & Financial Operations
Take ownership of our daily accounting operations using QuickBooks Online.
Manage transaction categorization, accounts payable, and accounts receivable.
Oversee Bill.com, vendor payments, invoicing, and collections.
Reconcile bank accounts, credit cards, payment processors, and transactions
from our various sales platforms.
Manage month-end closing and maintain accurate financial statements in
accordance with U.S. GAAP.
Maintain accurate general ledger records and proper accrual accounting.
Review existing accounting processes, identify errors or inefficiencies, and make
improvements.
Maintain strong financial controls and organized supporting documentation.
2. Financial Reporting & Analysis
Prepare accurate daily sales and revenue reports across our different business
channels.
Maintain financial reports, dashboards, and management reporting.
Assist with budgeting, forecasting, and budget-versus-actual analysis.
Monitor cash flow, upcoming payments, and financial obligations.
Develop reporting that helps us understand profitability by customer, order,
product category, and business segment.
Analyze order costs, including products, outsourced manufacturing, in-house
production, and shipping.
Work with management to improve our pricing models using actual financial
results.
Help connect revenue and profitability reporting with sales and marketing data.
3. Tax Compliance & Financial Administration
We have outside U.S. CPAs and tax professionals who handle our business income tax
returns and provide specialized tax advice. You will coordinate with these professionals
rather than replace them.
Responsibilities include:
Manage ongoing sales tax reporting and filing processes across applicable U.S.
states.
Help maintain and improve sales tax compliance as the company grows.
Recognize potential compliance issues and coordinate with outside advisors
when needed.
Manage W-9 collection and 1099 preparation and filing.
Maintain accurate reporting for customer revenue-sharing programs and related
payouts.
Coordinate with outside accountants and tax professionals to ensure accurate
and timely reporting.
4. Systems, Technology & Automation
We use several software platforms, including:
QuickBooks Online
Bill.com
Printavo
InkSoft
Chipply
Some of these platforms support e-commerce and online merchandise stores, making
accurate reconciliation and consolidated reporting especially important.
We want someone who is comfortable with technology and enthusiastic about improving
processes.
Responsibilities include:
Identify accounting tasks that can be simplified or automated.
Use AI, automation tools, and software integrations to improve reporting,
accuracy, and efficiency.
Improve the flow of financial information between our systems.
Build reliable, repeatable processes that reduce manual work.
Continuously suggest and implement practical improvements.
Advanced AI development experience is not required. However, curiosity, strong
technical aptitude, and a genuine willingness to learn and use modern tools are
important.
5. Payroll & Administrative Support
As a growing company, we also need flexibility across certain administrative and HR-
related responsibilities.
You'll work alongside existing team members to help oversee:
Employee time tracking and payroll processing.
Sales commissions, bonuses, and incentive calculations.
Payroll-related reconciliations and records.
Employee administrative records and important milestones.
Other finance-related administrative processes as needed.
These responsibilities may evolve or be delegated as the company grows.
Required Qualifications
At least 5 years of professional accounting experience, including significant
experience working with U.S.-based businesses.
Strong working knowledge of U.S. GAAP and accrual accounting.
Advanced QuickBooks Online experience.
Proven ability to independently manage full-cycle accounting and monthly
closing.
Experience preparing accurate financial statements and performing account
reconciliations.
Strong Excel or Google Sheets skills.
Excellent analytical and problem-solving abilities.
Excellent written and spoken English.
Strong attention to detail, accountability, and organizational skills.
Ability to work independently, prioritize responsibilities, and make sound
accounting decisions.
Preferred, but Not Required
Experience as an Accounting Manager, Controller, Assistant Controller, or senior
accountant with broad responsibilities.
Experience in e-commerce, distribution, manufacturing, or order-based
businesses.
Experience with cost accounting, job costing, budgeting, and financial analysis.
Familiarity with U.S. sales tax compliance.
Experience with AI, automation, reporting tools, or software integrations.
Experience improving accounting systems for a growing small business.
Previous experience supervising or training accounting staff.
A CPA qualification is not required. Demonstrated accounting competence and real-
world experience are more important to us.
Who We're Looking For
The right person is an experienced accounting professional who enjoys taking
ownership and improving the way things work.
You're comfortable handling everyday accounting transactions, but you also enjoy
analyzing financial information, building better reports, and finding opportunities to
improve the business.
You don't need to be an expert in every area of finance, technology, or tax. You do need
to be resourceful, understand your responsibilities, recognize when specialized advice
is needed, and take initiative to get things done.
We're especially interested in someone who has worked in a growing business and
understands the need to balance day-to-day responsibilities with building better systems
for the future.
We value independent thinking, accuracy, reliability, efficiency, and a willingness to
continuously improve.
Growth Opportunity
This position will initially report directly to the company owner.
Our goal is to develop an organized, accurate, and efficient accounting function that can
support the company as it grows.
Over time, you may have the opportunity to supervise additional accounting staff and
take on broader responsibilities.
As the company expands, we may eventually introduce additional senior financial
leadership. Our goal is for this position to remain an important part of a strong and
scalable finance department.
We're looking for someone who wants to grow their career with us and become a
valued, long-term member of our team.
This is a full-time position dedicated to our company, not a freelance opportunity.
