For systems thinkers who build things that run without them:

We are Skalieren.ai, a scaling agency company from Germany. We build AI-powered "Second Brain" systems — central company knowledge bases on which AI agents work like real employees: they prepare client calls, write and quality-check content, manage CRM data, and execute complete workflows.

You will build in both directions: you continuously develop OUR internal AI systems (this is where we experiment, learn, and raise our own level every week) AND you set up these systems for our clients. Sometimes we build something internally first and roll it out to clients, sometimes the other way around. Both sides are equally part of this role.

For this, we are hiring a Full-Time AI Systems & Process Specialist.

Important: This is not a role for people who "use ChatGPT a lot". Knowing your way around AI tools is the entry ticket, not the skill. The skill we pay for is this: you can take a messy, undocumented business process, think it through end to end, turn it into a clean documented system, and then make AI execute it reliably — every day, without drama, without reinventing your
setup every week.

Key Responsibilities

•Build and continuously improve our internal AI systems AND set up the same systems for our clients

•Design, build, and maintain AI knowledge bases and AI agents (Claude,Claude Code, ChatGPT, GitHub-based knowledge repositories)

•Connect systems via APIs and automation tools (Make, n8n, Zapier) — CRM (GoHighLevel), Google Drive, Slack, transcription tools

•Translate business processes into clear written SOPs BEFORE automating them

•Test, monitor, and quality-check AI outputs; document errors and fix the process so the same error cannot happen twice

•Maintain structure: naming conventions, file structures, and documentation standards are followed — always

•Communicate proactively in structured written updates; join coordination calls when needed

Requirements

•Proven hands-on experience with AI tools beyond chatting: agents, automations, API integrations, prompt systems (Claude/Claude Code experience is a strong plus)

•Demonstrated process skills: you have documented and systematized real workflows before (SOPs, checklists, process maps)

•High execution power: you finish what you start and deliver on deadline

•Strong written and spoken English

•Full-time availability: 40 hours per week

•You prefer deep, focused work over meetings and small talk

You are NOT a fit if you jump to every new AI trend, need constant new challenges to stay motivated, or improvise instead of documenting.

Salary

Fixed monthly salary: $1,000–1,400 USD depending on experience, paid reliably and on time. Long-term position with room to grow as our AI services grow.
