AI & Systems Integration Specialist

Location: Remote (Philippines preferred). Applicants must maintain at least three hours of overlap with Vancouver business hours. Five to eight hours of overlap is ideal.

Our business currently operates across more than 20 software platforms, and many integration and automation decisions are still managed directly by our Founder and CEO. As we work toward our goal of becoming a $10 million company, we need a technical specialist who can connect our systems, eliminate unnecessary manual work, and build a scalable technology foundation.



The AI & Systems Integration Specialist will take ownership of Cooper Roofing's technology stack from end to end. This is not a general virtual assistant position and is not intended for a marketer who has only built a few basic Zapier automations. You will serve as the architect responsible for understanding how our systems, workflows, teams, and data connect. You will audit our existing tools, interview employees about their daily processes, identify inefficiencies, recommend consolidation opportunities, and build reliable integrations using platforms such as Zapier, ---------- , and n8n. The role reports directly to the Founder and CEO and works closely with the Marketing Strategist, web developer, and employees throughout the company.



Key Responsibilities

Create and maintain a complete inventory of company software, including each tool's purpose, owner, cost, data, and integrations.
Meet with employees across sales, estimating, administration, production, project management, marketing, and leadership to document workflows and pain points.
Recommend which tools should be retained, replaced, consolidated, or eliminated.
Establish and protect a reliable source of truth for customer and job data within JobNimbus, GoHighLevel, or the appropriate system.
Build and maintain integrations using Zapier, ---------- , n8n, APIs, webhooks, and custom workflows.
Monitor automation health and resolve failed Zaps, scenarios, webhooks, and data transfers before they affect operations.
Develop AI-assisted estimate and proposal drafting workflows based on job information or photographs.
Automate customer follow-up sequences based on JobNimbus stages.
Integrate call transcription and summaries with customer and job records.
Develop lead-scoring systems using historical sales and closing data.
Build AI-assisted review-response workflows that require human approval before publishing.
Automate the creation of advertising and landing-page variations for the Marketing Strategist to test.
Create content-repurposing workflows across multiple formats and platforms.
Develop scheduling-conflict alerts involving crews, weather, and material deliveries.
Automate the organization of crew photographs and documents into the correct job files.
Build material-ordering triggers connected to job stages and supplier processes.
Automate warranty, callback, and service-reminder tracking.
Connect job-completion stages with invoicing and QuickBooks workflows.
Develop alerts for duplicate invoices, unusual transactions, and other accounting anomalies.
Create automated weekly financial summaries using QuickBooks data.
Automate new-hire onboarding, account setup, documentation, and training checklists.
Build an internal knowledge base or SOP assistant that helps employees answer routine questions.
Create dashboards connecting JobNimbus, QuickBooks, advertising spend, leads, and closed revenue.
Develop proactive alerts for changes such as rising cost per lead, declining close rates, or unusual performance.
Manage integration credentials and access through a shared password manager.
Maintain process maps, system documentation, SOPs, and written offboarding procedures.


Qualifications

Previous experience in IT administration, systems administration, technical operations, automation engineering, or systems integration.
Hands-on experience with at least two of the following platforms: Zapier, ---------- , and n8n.
Strong preference for candidates with practical n8n experience.
Experience administering a CRM rather than simply using one.
Experience with GoHighLevel, JobNimbus, or a comparable CRM is preferred.
Comfortable working with APIs, webhooks, authentication methods, and JSON.
Ability to create custom integrations when a native connector is unavailable.
Experience connecting QuickBooks or another accounting platform with operational systems.
Experience managing or improving a multi-platform technology stack.
Strong documentation habits and the ability to create clear SOPs and process maps.
Excellent written English and the ability to explain technical processes to non-technical employees.
Strong attention to security, credential management, data accuracy, and access controls.
Direct experience using OpenAI, Anthropic, or another large-language-model API is an asset.
Ability to work independently, investigate technical problems, and recommend solutions based on cost, complexity, reliability, and business value.


Pay and Benefits

Full-time independent contractor position.
Base salary: USD $1,000-$1,500 per month, paid bi-weekly, depending on technical experience, systems integration expertise, and demonstrated ability
Thirteenth-month bonus for candidates based in the Philippines; an equivalent structure may be discussed for candidates located elsewhere.
Direct working relationship with the Founder and CEO.
Significant ownership of the company's technology and automation strategy.

Applicants must be able to consistently provide at least three hours of overlap with Vancouver business hours, with five to eight hours being ideal. Because this position will have near-administrator access to important company systems, finalists should also expect comprehensive reference and background checks upon a conditional offer.
