The Opportunity
You will support the business owner directly, handling the tasks that keep the practice running day to day. This is not a traditional admin role. The owner uses custom ChatGPT prompts, Loom video training, and Google Docs to document every workflow so you are never left guessing. Execution, consistency, and proactive communication are what matter most here.
The owner is intentional about building this relationship over time. Start with clear, structured tasks, earn trust, and take on more autonomy as the partnership grows.
WHAT YOU WILL DO
Resume and Docs (30%)
Rewrite and format resumes, cover letters, and LinkedIn profiles using Kolby's prompts and custom GPTs
Process and organize client intake documents, coaching notes, and speaking engagement materials
Social Media (30%)
Draft, schedule, and manage LinkedIn and social media content following Kolby's content calendar and brand voice
Project Management (25%)
Manage and organize tasks in Asana: daily prioritization, project tracking, and deadline monitoring
Coordinate post-event follow-ups: send tailored
Submit daily and weekly activity reports tracking completed work, blockers, and priorities
Admin (15%)
Support B2B outreach to wealth management firms and outplacement prospects via LinkedIn and
Research companies with recent layoffs to identify outplacement partnership opportunities
WHAT WE ARE LOOKING FOR
AI proficiency: Comfortable using ChatGPT and custom GPTs daily; can coach AI output rather than copy-paste
Strong written English: Can edit AI-generated content to sound natural and remove robotic patterns
Project management: Experience with Asana or similar tools; can organize, prioritize, and track work independently
Social media savvy: Familiar with LinkedIn content best practices; can schedule and manage posts
Reliable and communicative: Consistent availability, stable internet, responsive within working hours
Self-starter: Can follow Loom walkthroughs, written SOPs, and Google Docs instructions with minimal hand-holding
Compensation and Schedule:
Monthly RateApproximately $1,200 to $1,500 USD
Hours Starting part time 20-hours a week looking to grow into Full-time, 40 hours per week, aligned to Pacific Time with flexible async hours.
Schedule: Flexible async with preferred overlap starting at 2:00 PM Pacific (approximately 5:00 AM Philippine Standard Time) for 2 to 3 hours of daily communication
