JOB OVERVIEW

We are looking for an exceptionally capable, highly organized, AI-native Executive Assistant to support a busy, top producing Realtor and founder of a high performance real estate brand.

This is not a traditional assistant role.

We are seeking someone who understands that the future of this position is not just about keeping up with tasks. It is about creating leverage. It is about using technology, systems, and advanced AI tools to help a fast-moving real estate business operate more efficiently, communicate more thoughtfully, and deliver an elevated client experience at every stage.

The right person is polished, proactive, detail-obsessed, discreet, and deeply resourceful. They know how to manage moving pieces with calm professionalism, and they are excited by the idea of building smarter systems behind the scenes.

This role is for someone who sees AI not as a shortcut, but as a serious operational advantage.

About the Role

This role blends executive assistance, operations support, and AI implementation. You will help manage the day-to-day demands of a busy real estate business while also identifying opportunities to save time, streamline workflows, improve communication, and strengthen the overall client experience.

You will play a meaningful role in helping the business run with greater precision, consistency, and ease.

Key Responsibilities

Executive and Administrative Support

Manage calendar, appointments, scheduling, and shifting priorities
Support inbox management, email drafting, follow-up, and communication flow
Prepare documents, reports, presentations, and business materials
Help manage both personal and professional to-dos with accuracy and discretion
Organize files, systems, and workflows to ensure smooth day-to-day operations

AI and Workflow Optimization

Use advanced AI tools to improve speed, organization, research, communication, and execution
Build and maintain helpful GPTs, prompt libraries, templates, knowledge bases, and repeatable workflows
Use tools such as ChatGPT, Claude, NotebookLM, and other advanced AI platforms in practical, high-value ways
Identify inefficiencies in the business and recommend smarter solutions
Help integrate AI into real estate operations in ways that are reliable, useful, and aligned with the brand
Stay current on emerging tools and bring forward ideas that create meaningful leverage

Real Estate Operations

Assist with listing preparation, vendor coordination, timelines, and transaction support
Help manage listing paperwork, disclosures, MLS coordination, and key deadlines
Track next steps and moving parts from pre-listing through closing
Maintain CRM accuracy, contact records, notes, and pipeline organization
Support smooth communication between clients, agents, vendors, and service providers

Client Experience and Brand Support

Serve as a warm, polished, highly professional point of contact
Help ensure every client interaction feels organized, thoughtful, and high-touch
Support the standards of a modern luxury brand through strong communication and follow-through
Assist with marketing coordination for listings, social media, email campaigns, events, and special projects
Help maintain brand consistency across all client-facing materials and communications

Required Qualifications

Proven experience in executive assistance, operations support, project coordination, or a similar high-level support role
Strong proficiency with AI tools beyond basic email drafting
Demonstrated ability to use platforms such as ChatGPT, Claude, NotebookLM, and other advanced AI tools in practical business settings
Excellent written and verbal communication skills
Exceptional organizational skills and attention to detail
Ability to manage multiple priorities without losing follow-through
Strong judgment, discretion, professionalism, and emotional intelligence
A proactive, solutions-oriented mindset with the ability to work independently

Preferred Qualifications

Real estate industry experience preferred
Experience supporting a founder, entrepreneur, or top producing agent
Familiarity with Follow Up Boss as a CRM, Google Workspace, Canva, DocuSign, MLS platforms, Basecamp for project management, and REZEN back end is a plus
Experience creating AI workflows, custom GPTs, prompt libraries, meeting summaries, SOPs, research systems, or automations
Comfort testing new tools, learning quickly, and operating in a fast-moving environment

Compensation
Compensation will be based on experience, capability, and scope of role, with strong consideration given to candidates who bring meaningful AI and operational skill to the position.
