JOB OVERVIEW

We are a US-based AI marketing agency managing social media, paid advertising, and growth operations for a luxury automotive concierge platform. We are looking for a sharp, organized, tech-forward assistant who can handle the day-to-day operational tasks that keep our systems running smoothly.
This is not a basic VA role. We use modern AI tools and expect you to learn them quickly. If you are comfortable with spreadsheets, dashboards, and figuring out new software on your own, you will thrive here.
What You Will Do
Your responsibilities fall into three main areas:
1. Ads Monitoring & KPI Tracking (30% of your time)
Log into Google Ads and Meta Ads Manager daily and record key metrics (spend, clicks, CTR, conversions, cost per lead) into a tracking spreadsheet
Take weekly screenshots of all campaign dashboards and send them to your manager every Monday by 9 AM
Flag any unusual changes in performance (a campaign suddenly spending too much, a cost per lead spiking, an ad getting disapproved)
Maintain a weekly KPI log in Notion so performance trends are easy to read at a glance
2. CRM & Pipeline Management (30% of your time)
Monitor GoHighLevel for new buyer and dealer form submissions
Move contacts through the correct pipeline stages based on their activity
Send follow-up reminders when contacts have been sitting in a stage too long
Keep the Notion Dealer Pipeline and Buyer Pipeline databases updated daily
Log all dealer email replies from Instantly.ai into the correct pipeline stage
3. Social Media & Content Support (40% of your time)
Monitor Instagram, TikTok, and LinkedIn DMs daily and respond using pre-written scripts
Post weekly updates to Google Business Profile using content provided by your manager
Monitor Blotato for any failed or flagged posts and report immediately
Assist with scheduling content when needed
Research trending audio, hashtags, and content formats in the luxury automotive space weekly and send a brief summary to your manager

Requirements
At least 1 year of experience in a marketing, social media, or operations VA role
Comfortable learning new software tools quickly — we will train you on specifics
Strong written English — you will be responding to real leads using scripts
Highly organized and detail-oriented — you are the person who notices when something is off
Reliable internet connection and available during US business hours (at least a 4-hour overlap with EST or PST)
Experience with any of the following is a strong plus: GoHighLevel, Google Ads, Meta Ads, Notion, cold email tools
