The short version
You will own the inbox for a three-attorney litigation firm running roughly 75 active matters in state court, federal court, and FINRA arbitration. Every court notice, e-service, piece of mail, and portal filing comes to you first. Your job is to get it logged, filed, and calendared within hours, using an AI system that does the extraction and drafting, and to be the human who confirms the AI got it right before anything is accepted.
This is not a data-entry job with an AI bolted on. The AI does the typing. You do the checking. If a deadline is wrong, it is wrong because a human accepted it, and that human is you. We are hiring for someone who finds that responsibility motivating rather than frightening.
What you'll actually do
Intake, same day. Monitor e-service, court portals (Orange County, Los Angeles, federal PACER, FINRA DR Portal), firm email, and physical mail. Every inbound item is logged against its matter within four business hours of arrival. Not by end of day. Not tomorrow.
Run the log-item workflow. Using Claude Cowork and our firm plugin, run each item through the "log item" skill. The skill files the document to the matter folder, extracts dates and parties, drafts the calendar entries and any deadline the document triggers under the CCP, local rules, or the FINRA Code, and updates the matter's chronology.
Verify before accepting. Open the document. Read what the AI extracted. Confirm the dates, the parties, the deadline rule cited, and the matter assignment against the source. Correct what's wrong. Only then mark the item accepted and let the calendar entries post. This is the core of the job and the part we will train you on most carefully.
Keep the record clean. Every matter has a record: caption, case number, forum, judge or panel, stage, next deadline, next action, owner, last touch. You keep it current. If it isn't in the system, it didn't happen.
Flag what needs a lawyer. The system routes deadline-triggering items and escalations to the responsible attorney automatically. You make sure nothing slips past the routing, and you tell an attorney directly when something looks urgent or unusual.
Improve the system. When the AI extracts something wrong twice, you tell us why. You'll help refine the skills and checklists so the same mistake doesn't recur. Over time you become the person who knows the docketing system best.
Who does well here
You are the person who notices the date on page 4 doesn't match the date on page 1.
You are comfortable reading a court order, a proof of service, or a FINRA scheduling order and understanding what it requires and by when.
You like AI tools and are unbothered by using them all day, but you don't trust them. You verify.
You can hold a checklist and follow it every time, including on the fiftieth item of the day.
You are calm when the inbox is full and honest when you've made a mistake.
Requirements
Two or more years in a litigation docketing, legal assistant, paralegal, or court clerk role, or a paralegal certificate with demonstrable attention to detail.
Working familiarity with California civil procedure deadlines (CCP §§ 1005, 1013, court-day counting) or the ability to learn them quickly with our training.
Experience with e-filing and e-service platforms (One Legal, File & ServeXpress, PACER, or similar).
Proficiency with Google Workspace or Microsoft 365, calendar systems, and document management.
Hands-on experience with Claude, Cowork, or comparable AI assistants for real work, not just experimentation.
Nice to have
FINRA Dispute Resolution experience, including the DR Portal and the Code of Arbitration Procedure.
Experience with a practice-management platform (Clio, Filevine, MyCase).
Prior responsibility for a firm's master calendar.
Experience writing checklists, procedures, or AI prompts for other people to follow.
How we'll measure success
Time from arrival to logged: under four business hours, consistently.
Extraction accuracy on verification: measured monthly, target above 99% after training.
Calendar accuracy: zero missed or misdated deadlines. This is the number that matters.
Silent matters (no logged activity in 30 days): none that you didn't already flag.
