We are in a growth phase and want to integrate AI and automation across the business – from customer relations to marketing, reporting, and internal operations – to become more efficient, smarter, and faster in our decisions.
We’re looking for a hands-on AI & Automation Business Specialist to help us design, implement, and maintain practical AI solutions inside the company.
???? About the Role
This is a full-time, remote role for someone who loves AI tools + business processes + automation.
You will:
Map how Oceania Distribution works today
Identify where AI and automation can save time, reduce errors, and improve decisions
Build practical solutions using tools like ChatGPT, automation platforms (Zapier / Make), and spreadsheets/CRMs
Train the team to actually use these tools in their daily work
You will work directly with the Managing Director (New Zealand) and collaborate with Sales, Marketing, Customer Service, and Admin teams.
This is not a research role and not about building AI models from scratch.
It’s about using existing AI & automation tools to improve real business processes.
???? Key Responsibilities
? AI & Automation Strategy (Practical, not theoretical)
Analyze current workflows in sales, customer service, marketing, reporting, and admin
Identify and prioritize AI/automation opportunities (quick wins & strategic projects)
Create a simple AI & Automation roadmap for Oceania Distribution
? Process Improvement & Automation
Build and maintain automated workflows using tools such as Zapier, Make, n8n, or similar
Connect tools like
Reduce manual work (copy/paste, repetitive
? AI for Customer Relations & Marketing
Create AI-assisted templates and processes for:
Customer service responses
Sales
Product sheets, newsletters, and marketing content
Support the team with prompting best practices and reusable AI workflows
? AI for Business Management & Reporting
Help build or improve automated sales and performance reports (e.g. by client, market, product group)
Use AI to assist with data analysis, summaries, and decision support
Assist in building internal documentation and SOPs with AI support
? Training & Adoption
Document all AI/automation solutions clearly so the team can use and maintain them
Create simple guides, videos, or short training sessions for staff
Act as the internal AI champion, helping the team adopt tools in a realistic, human way
???? Qualifications
Must-have:
Strong interest and hands-on experience using AI tools (ChatGPT or similar) for business tasks
Practical experience with automation tools such as Zapier, Make, n8n, or similar
Good understanding of business processes (sales, admin, customer service, or operations)
Advanced skills in spreadsheets (Google Sheets / Excel): formulas, lookups, basic data analysis
Excellent English communication skills (written and spoken)
Highly organized, proactive, and comfortable working independently
Nice-to-have (preferred):
Experience in FMCG, distribution, retail, or e-commerce
Experience with CRMs (HubSpot, Zoho, Airtable, Notion, etc.)
Basic scripting skills (e.g. Python, Apps Script, or similar) – not mandatory but a plus
Experience training or supporting non-technical users to adopt new tools
Experience level:
Typically 3–7 years of professional experience in operations, systems, business analysis, process improvement, marketing ops, RevOps, or similar
Strong recent exposure to AI and automation tools in real work situations

Full-time remote position (40 hours per week)
Monday to Friday, with some overlap with New Zealand time and APAC time zones
Direct report to the Managing Director (New Zealand)
Close collaboration with Sales, Marketing, Customer Service, and Admin teams
