AI Automation Architect & GoHighLevel Systems Builder

We are seeking an experienced AI Automation Architect to help build a coordinated system of nine AI employees for a healthcare, education, consulting, marketing, and business-development organization.

This is not a basic virtual-assistant position. We need a hands-on technical builder who can translate business processes into reliable AI employees, GoHighLevel workflows, ---------- automations, API integrations, prompts, safeguards, approval systems, and clear documentation.

ABOUT THE PROJECT

Our first implementation will support AWAREmed Health & Wellness Resource Center. However, the underlying system is being designed so it can later be configured for additional businesses and clients.

The system will include nine coordinated AI employees:

1. ARIA — AI Chief of Staff and Orchestrator
Coordinates the other AI employees, prioritizes work, prepares reports, and escalates decisions requiring human approval.

2. SENTINEL — Compliance and Quality Guardian
Checks communications, permissions, healthcare claims, privacy requirements, and escalation rules before actions are completed.

3. PORTER — Front Door and Reception
Responds to initial inquiries, identifies the person’s needs, collects approved information, and routes each inquiry correctly.

4. SCOUT — Lead Research and Qualification
Researches and qualifies prospects using approved scoring criteria, organizes lead information, and identifies the appropriate next step.

5. SALES AND FOLLOW-UP EMPLOYEE
Manages lead nurturing, follow-up sequences, reactivation campaigns, opportunity tracking, and handoffs to a human team member.

6. APPOINTMENT AND PATIENT COORDINATION EMPLOYEE
Assists with scheduling, reminders, confirmations, missed appointments, intake steps, and approved patient communications.

7. EXECUTIVE SECRETARY EMPLOYEE
Organizes meetings, tasks, summaries, follow-ups, communications, priorities, and administrative workflows.

8. MARKETING AND CONTENT EMPLOYEE
Supports email campaigns, social media, educational content, reputation management, funnels, campaign tracking, and content repurposing.

9. ACCOUNTING AND OPERATIONS EMPLOYEE
Organizes invoices, expenses, reports, payment follow-up, financial-document workflows, operational dashboards, and QuickBooks-related processes. All financial actions must follow human-approval rules.

CORE RESPONSIBILITIES

* Build and maintain advanced GoHighLevel workflows, pipelines, calendars, forms, funnels, tags, custom fields, triggers, and communication sequences.
* Build ---------- scenarios connecting GHL, AI models, email, calendars, forms, spreadsheets, accounting systems, and other approved applications.
* Integrate OpenAI and Claude through APIs.
* Work with REST APIs, webhooks, JSON, authentication, error handling, and data mapping.
* Store and manage prompts, configurations, documentation, and version history in GitHub.
* Use Netlify for approved lightweight pages, forms, demonstrations, or internal tools.
* Create structured Company Brain knowledge files and role-specific instructions.
* Build human-approval steps so AI employees cannot send sensitive communications or take high-risk actions without authorization.
* Create clear permissions for what each AI employee may read, draft, recommend, or execute.
* Create audit trails showing what happened, when it happened, and which human or AI employee initiated it.
* Test every workflow thoroughly before activation.
* Monitor automations, identify failures, correct problems, and prevent duplicate or conflicting actions.
* Protect confidential business information and follow HIPAA-aware procedures.
* Record short training videos and create step-by-step SOPs so the owner and operations team understand the system.
* Provide weekly progress reports showing completed work, current problems, test results, and the next deliverables.

REQUIRED TECHNICAL EXPERIENCE

Applicants must have practical experience with:

* GoHighLevel, including advanced workflows and CRM configuration
* ---------- scenario building
* OpenAI or Claude API integrations
* APIs, webhooks, JSON, and OAuth or API-key authentication
* Git and GitHub
* Prompt engineering and structured AI instructions
* Error handling, logging, testing, and troubleshooting
* Google Workspace integrations
* Clear technical documentation and SOP creation

PREFERRED EXPERIENCE

* Netlify or similar deployment platforms
* QuickBooks integrations
* Healthcare or other regulated industries
* HIPAA-aware automation
* Multi-client or multi-location GHL environments
* AI agents or coordinated multi-agent systems
* YAML, JSON Schema, JavaScript, or Python
* Lead qualification, marketing automation, sales pipelines, and appointment systems

IMPORTANT ARCHITECTURAL REQUIREMENTS

The successful candidate must follow our established Build Contract:

* GoHighLevel is the Version 1 system of record.
* ---------- is the Version 1 automation runtime.
* GitHub protects and versions the system’s intellectual property.
* We are building a configurable AI employee system—not an unnecessary custom SaaS application.
* No separate database, custom dashboard, or complex application should be added without written approval.
* Each business must have separated information, configurations, permissions, and workflows.
* AI communications begin in draft or human-approval mode.
* Sensitive medical decisions, financial transactions, legal decisions, and high-risk communications must always be escalated to an authorized human.
* All work product, prompts, code, workflows, documentation, and intellectual property created for this project belong exclusively to the company.
