Lead Manager (Follow Up Boss Specialist)
Location: Remote (U.S. hours preferred)
Company: The Melissa Miller Group | eXp Realty
Compensation: Base + Performance Bonuses (based on appointments set & pipeline performance)
Position Overview
The Melissa Miller Group is seeking a highly organized, proactive Real Estate Admin Assistant / Lead Manager with direct experience supporting a real estate team and working inside Follow Up Boss (FUB).
This role is critical to the growth of our business. You will be responsible for ensuring every lead in our database is properly managed, followed up with, and converted into qualified appointments.
Our agents focus on showings, negotiations, and closings—you will ensure the pipeline stays active, organized, and moving.
Key Responsibilities
1. Lead Management & CRM Oversight (Follow Up Boss)
Manage and maintain all leads within Follow Up Boss
Ensure 100% of new leads are contacted quickly and properly categorized
Update lead statuses, notes, and next actions daily
Monitor and clean up:
“New” leads
“Attempted contact”
Stale or inactive leads
Ensure no lead is left untouched or without a follow-up plan
2. Lead Engagement & Appointment Setting
Respond to and follow up with:
New inbound leads (Zillow, website, ads, etc.)
Existing database leads
Conduct initial outreach via:
Calls
Text messages

Email

Qualify leads based on:
Timeline
Motivation
Buying power
Set appointments directly on agent calendars
3. Database Activation & Lead Nurture
Re-engage cold and dormant leads
Implement follow-up campaigns and drip systems
Identify opportunities within the database to generate new business
Increase overall database activity and engagement
4. Lender Coordination
Connect qualified buyers with our preferred lender
Track pre-approval progress
Follow up with leads to ensure financing steps are completed
5. Agent Support & Accountability
Monitor agent pipelines within Follow Up Boss
Identify:
Missed follow-ups
Incorrect statuses
Leads needing attention
Update CRM on behalf of agents when necessary
Communicate regularly with agents regarding lead status and next steps
6. Reporting & KPI Tracking
Track and report daily/weekly metrics:
Leads contacted
Conversations
Appointments set
Lender introductions
Maintain CRM accuracy and performance visibility
Required Qualifications
2+ years experience working with a real estate team
Hands-on experience using Follow Up Boss (REQUIRED)
Proven experience in:
Lead management
Inside sales or ISA role
Appointment setting
Strong understanding of:
Real estate sales pipeline
Buyer journey (lead ? appointment ? contract ? close)
Excellent communication skills (phone, text, email)
Highly organized with strong attention to detail
Ability to multitask and prioritize in a fast-paced environment
Preferred Qualifications
Experience working with:
Zillow Flex / Premier leads
CRM automations and drip campaigns
Bilingual (English/Spanish) is a plus
Experience supporting high-volume real estate teams
