JOB OVERVIEW

Company: Alpha Technical Training
Employment Type: Full-Time
Work Arrangement: Remote / Offshore
Industry: Vocational Education & Training (Australia)

ABOUT THE ROLE:

Alpha Technical Training is seeking a proactive, commercially minded Student Accounts & Collections Officer to manage outstanding student payments and maximise cash collection.

This is not a traditional payment reminder or administrative follow-up role.

We are looking for someone who knows how to have difficult financial conversations, negotiate payment arrangements, overcome objections and turn outstanding balances into successful collections.

Many of our students are working professionals completing trade qualifications. They may experience financial difficulties, competing priorities or delays in completing their payments.

Your responsibility is to understand their circumstances, identify practical solutions and negotiate mutually acceptable payment arrangements while maintaining positive student relationships.

KEY RESPONSIBILITIES:

1. Payment Recovery & Negotiation
- Proactively contact students with outstanding course fees.
- Understand the actual reasons behind delayed payments.
- Negotiate realistic payment arrangements within company-approved guidelines.
- Offer structured instalment plans where appropriate.
- Secure specific payment commitments, including amounts and dates.
- Follow through on commitments until payments are received.
- Identify opportunities to recover overdue balances earlier without placing unreasonable pressure on students.

2. Objection Handling & Problem Solving
- Confidently handle objections such as:
“I can’t afford to pay right now.”
“I’ll pay next month.”
“I’m waiting for my salary.”
“I’m too busy.”
“I’ll get back to you.”
- Ask effective questions to understand the student’s financial circumstances.
- Explore alternative arrangements rather than accepting the first objection.
- Identify genuine financial hardship and escalate cases requiring special consideration.
- Know when to negotiate, when to follow up and when to escalate.

3. Student Relationship Management
- Build trust and maintain professional relationships with students.
- Explain outstanding balances, payment deadlines and agreed arrangements clearly.
- Help students understand the administrative and contractual implications of outstanding payments without making misleading statements or threats.
- Maintain a supportive but commercially focused communication style.
- Resolve payment-related concerns and disputes professionally.

4. CRM Management & Reporting
- Maintain accurate payment notes and follow-up records in ---------- .
- Record objections, payment commitments, agreed instalments and next actions.
- Monitor overdue balances and broken payment arrangements.
- Provide daily collection reports and weekly cashflow forecasts.
- Identify students with high recovery potential and prioritise accordingly.

PERFORMANCE EXPECTATIONS:

- Success in this role will be measured by:
- Total outstanding cash successfully collected.
- Percentage of overdue balances recovered.
- Payment commitments successfully converted into receipts.
- Number and value of realistic payment arrangements negotiated.
- Reduction in overdue account balances.
- Quality of student communication and compliance with collection procedures.
- We value actual collections and sustainable payment arrangements, not simply the number of calls made.

REQUIRED SKILLS & EXPERIENCE:

- Minimum 2 years’ experience in credit collection, accounts receivable, debt recovery or payment negotiation.
- Strong negotiation and objection-handling skills.
- Excellent spoken and written English.
- Confident conducting payment discussions over the phone.
- Ability to build rapport while maintaining a clear collection objective.
- Commercial mindset with strong problem-solving ability.
- Experience using CRM systems and maintaining accurate records.
- Ability to work independently and achieve collection targets.

HIGHLY DESIRABLE:

- Experience collecting education or training fees.
- Experience working with Australian customers.
- Experience negotiating instalment arrangements.
- Familiarity with ---------- or similar CRM platforms.
