About us
Ignite AI is a UK training company delivering government-funded AI upskilling programmes for business owners. We run multiple cohort-based programmes at once, with a small senior team and a pool of expert facilitators. We are growing fast, with new government contracts just signed, and we need the person who holds it all together.
The role
You are the operational backbone of the delivery team. The founder and Head of Delivery are big-picture people. Your job is to be the opposite: the organised, detail-driven person who makes sure every schedule is set, every tracker is up to date, every participant is chased, and nothing is ever forgotten.
What you'll do
• Keep the master programme trackers accurate and current (cohorts, sessions, attendance, participant progress)
• Schedule sessions, book calls, send invites, confirm facilitators, and manage the delivery calendar
• Run participant admin: onboarding packs, registration, reminders, follow-ups and chasing non-responders
• Prepare the weekly delivery report so the senior team always knows exact status
• Own the agendas and action logs for team meetings, and chase actions to completion
• Keep our systems tidy: files named and filed, records complete, data entered properly
• Support participant recruitment admin during cohort intake periods
• Help manage our online community spaces
Who you are
• At least 3 years in operations coordination, executive assistance, project administration or similar
• Fiercely organised. You love checklists, trackers and finishing things, and untidy systems genuinely bother you
• Reliable to the minute: deadlines kept, messages answered, same quality every week
• Excellent written and spoken English, with a friendly, professional tone for participant
• Confident with Google Workspace or Microsoft 365, and comfortable learning new tools quickly (we use Notion and AI tools daily; experience with ChatGPT or Claude is a plus, not a requirement)
• Able to work hours that overlap with the UK morning and early afternoon
• Looking for a long-term home, not a stopgap
Pay and setup
• Competitive monthly salary (we pay at the upper end of the market for the right person), paid reliably every month
• 20 hours per week to start, with real scope to grow to full time as our contracts grow
• 13th month pay honoured
• Paid onboarding and training period, working directly with the founder
