Virtual Assistant – Customer Service & Home Service Operations
I own a landscape and Christmas lighting company in Texas, United States, and I’m hiring a dependable virtual assistant to manage customer communication, scheduling, and daily office operations.
Read the entire posting before applying. A video of yourself speaking in English is required. Applications without this video will be automatically deleted.
I’m looking for someone who takes ownership of tasks, follows through consistently, and communicates professionally with customers.
I will train the right person on our systems, including sales, software, scheduling, customer communication, and business operations. You don’t need to know everything on day one, but you must be reliable, willing to learn, receptive to feedback, and able to apply what you’re taught.
Responsibilities:
* Answer incoming calls when I’m unavailable and return missed calls.
* Respond to customer texts and
* Follow up on estimate requests, outstanding estimates, and existing customer inquiries.
* Schedule estimates, confirm appointments, and coordinate job schedules.
* Create efficient crew routes and communicate scheduling changes.
* Maintain accurate customer records, job details, and calendars.
* Prepare and send estimates and invoices using the scope and pricing I provide.
* Send payment reminders and follow up on unpaid invoices.
* Request customer reviews after completed jobs.
* Handle routine customer questions and bring pricing decisions or complaints to me.
* Provide a brief daily update on completed tasks, pending items, and anything needing my attention.
We use Jobber, Yardbook, and QuickBooks. Experience with these platforms is preferred, but training is available for the right candidate.
Requirements:
* Clear, conversational English that customers can easily understand over the phone.
* Strong written English for professional customer texts and
* Experience in customer service, scheduling, or administrative support. Experience with a home service company is strongly preferred.
* Consistent availability during agreed-upon Texas business hours, Central Time.
* Reliable internet, a headset, and a quiet workspace.
* Strong organization, attention to detail, and consistent follow-through.
* Ability to work independently after training.
* Professional handling of confidential customer and business information.
Compensation depends on your demonstrated skills and relevant experience. The more value you bring—especially through experience supporting home service businesses—the more I’m willing to pay. Weekly hours and the work schedule will be discussed during the interview.
To apply, submit all of the following:
1. Start your application with “Texas Operations VA.”
2. Your résumé or a summary of relevant experience, including the types of businesses you’ve supported.
3. Your experience with Jobber, Yardbook, and QuickBooks. Be honest if you haven’t used a platform.
4. Your time zone, available hours in Central Time, desired weekly hours, hourly rate, and earliest start date.
5. A 1–2 minute video showing yourself speaking in English. Introduce yourself, describe your relevant experience, and explain why you’re a strong fit. Make sure the link is accessible.
6. Your answer to this scenario: A customer calls while I’m on a job and wants a landscaping estimate. What information would you collect, and what would you do next?
7. One or two professional references.
No video of you speaking means automatic deletion of your application. Written introductions, audio-only recordings, and promises to send a video later do not meet this requirement.
Incomplete applications and generic responses that do not address the instructions will not be considered. Shortlisted applicants will complete a live interview with a customer phone role-play.
I’m looking for someone who wants to learn our business and become a dependable, long-term member of our team.
