ARE YOU HIGHLY ORGANISED, GREAT WITH NUMBERS AND OBSESSED WITH DETAILS?
If you are the person who notices the small things that everyone else misses, keeps spreadsheets perfectly organised, follows up when something hasn't been completed, and takes pride in getting things right the first time, we would love to hear from you.
We are looking for an exceptional Bookkeeper & Property Operations Coordinator to join our growing UK property management business.
This is not a basic data-entry or bookkeeping role.
We are looking for someone who wants to become a key member of our team, take ownership of their work and grow with the company.
You will initially work closely with the Director and gradually take responsibility for coordinating administrative, financial and property management processes.
APPLICATION

WHY YOU'LL LOVE WORKING WITH US
We want people who join us to stay with us.
From your first day, you will be welcomed, supported and given the training you need to understand our business and systems.
We invest in people who show commitment, initiative and the desire to improve.
As you become confident in the role, your responsibilities will increase.
There will be opportunities to:
• Take ownership of important business processes
• Coordinate other team members
• Improve systems and workflows
• Create and maintain operational manuals
• Become involved in business projects
• Develop your property management knowledge
• Take on more responsibility as the company grows
• Progress into a more senior position
We are a growing company, so the right person can grow with us.

ABOUT THE ROLE
We are a UK-based residential lettings and property management company working with landlords and tenants across South East England.
We are looking for someone who combines:
Bookkeeping + Administration + Property Coordination + Project Coordination
You will support the Director and wider team across the financial and operational side of the business.
The role requires someone who is extremely organised, reliable and comfortable working independently.
You will need to be able to look at a task, understand what needs to happen, take ownership of it and make sure it gets completed.

YOUR MAIN RESPONSIBILITIES
BOOKKEEPING & FINANCE
Approximately 5 hours per week initially will be dedicated to bookkeeping and financial administration.
Your responsibilities may include:
• Recording and checking financial transactions
• Maintaining accurate financial records
• Updating spreadsheets
• Checking invoices
• Matching invoices to payments and work completed
• Monitoring rent and payment information
• Following up outstanding financial information
• Preparing information for the company's accountant
• Checking supplier invoices
• Recording property-related expenses
• Maintaining organised digital financial files
• Identifying discrepancies or missing information
• Supporting basic financial reporting
• Helping maintain accurate cash-flow information
Accuracy is extremely important.
We would rather have someone who carefully checks their work than someone who works quickly but makes mistakes.

PROPERTY & OPERATIONS COORDINATION
You will also help coordinate the day-to-day operation of our property management business.
This may include:
• Coordinating property maintenance and repairs
• Following up contractors and suppliers
• Tracking outstanding property tasks
• Coordinating property preparation between tenancies
• Monitoring vacant properties
• Helping reduce property void periods
• Maintaining compliance records
• Updating property management systems
• Checking that tasks have been completed
• Supporting tenant and landlord administration
• Organising documents
• Maintaining Google Drive
• Updating Asana
• Supporting the Director with administrative tasks
• Coordinating the work of other team members
• Preparing reports and spreadsheets
You will be expected to follow things through to completion.
If you send someone a message asking for an invoice, for example, your responsibility does not end when the message is sent.
You will follow up until the invoice is received, checked, recorded and filed.

PROCESS & SYSTEM DEVELOPMENT
This is an important part of the role.
We are continuously improving the way we operate.
You will help us:
• Create process workflows
• Document existing processes
• Create Operational Manuals
• Improve Standard Operating Procedures
• Create checklists
• Identify inefficiencies
• Improve administration systems
• Create workflows in L
• Organise information in Google Drive
• Improve our use of Asana and property management software
• Identify opportunities to systemise or automate repetitive tasks
You don't need to know everything when you start.
You do need to be someone who enjoys learning and improving things.

THE PERSON WE ARE LOOKING FOR

• Bookkeeping

ORGANISED
You know what needs to be done, when it needs to be done and what is still outstanding.
PROACTIVE
You don't constantly wait to be told what to do.
If you see something that needs attention, you raise it.
If you can solve a problem yourself, you do so.
RELIABLE
When you say something will be completed, we expect it to be completed.
GOOD WITH NUMBERS
You are comfortable working with figures, spreadsheets, invoices and financial information.
A GOOD COMMUNICATOR
You can communicate clearly and professionally in written English.
A PROBLEM SOLVER
You look for solutions rather than simply reporting problems.
A FAST LEARNER
You are comfortable learning new software, systems and processes.
SOMEONE WHO TAKES OWNERSHIP
