I am an independent U.S. insurance agent looking for a reliable, organized, long-term Insurance Client Service & Operations Assistant to help with the administrative and client-service side of my business.
I have an established, referral-based book of business and have been in the insurance industry for more than 20 years. I am a high-producing agent in my field, and most of my clients come to me through referrals and long-term relationships. Because of that, professionalism, follow-through, confidentiality, and a high level of client service are extremely important.
This is not primarily a sales role. I am looking for someone who can become a dependable part of my business and help keep client cases organized from beginning to end. Although the position will begin part-time, this is an important role in the client experience and in the continued growth of my business.
Responsibilities will include:
Calling insurance carriers to verify current client premiums, policy status, effective dates, billing information, benefits, and cancellation requirements before appointments.
Assisting with the administrative process of cancelling old policies after replacement coverage has been issued, when appropriate.
Following up with carriers on pending applications, missing requirements, billing issues, underwriting, and policy status.
Preparing client information before appointments so everything is organized and ready for review.
Contacting clients for missing information or documents.
Sending intake forms, appointment information, and follow-up reminders.
Updating client notes and tracking open service items until they are fully resolved.
Helping maintain and organize my book of business, including carrier, product, premium, effective date, renewal or expiration date, and contact information.
Assisting with scheduling and other routine administrative tasks.
Previous experience working with a U.S. insurance agency is strongly preferred. Experience with Medicare, health insurance, life insurance, or supplemental insurance is especially helpful.
You should have excellent spoken and written English, strong phone skills, experience calling U.S. insurance carriers, good attention to detail, strong organization skills, and the ability to work independently and keep track of multiple open client issues.
Reliable internet and a professional environment for phone calls are required.
Availability during U.S. Central Time business hours is also required.
This is a part-time position, approximately 20–25 hours per week, with the possibility of additional hours and increased pay over time for the right person.
I value clear communication, reliability, professionalism, and a healthy long-term working relationship. I am looking for someone who wants to become an important part of the business rather than simply complete occasional administrative tasks.
To apply, please include:
1. Your previous U.S. insurance experience.
2. Which insurance products and carriers you have worked with.
3. Your experience making carrier and client phone calls.
4. Your desired hourly rate.
5. Your availability during U.S. Central Time.
6. A short 60–90 second voice or video introduction.
Please also answer this question:
If I ask you to call a client’s current insurance company before an appointment to verify their monthly premium, policy status, effective date, and cancellation process, how would you handle the task and document the results?
