JOB OVERVIEW

Part-Time Financial & Revenue Performance Analyst (FP&A / Power BI)

Initial 40-Hour Project | 3 - 5 Hours/Week Ongoing | Long-Term Opportunity | European Health & Beauty Business

We are looking for a highly capable, analytical and commercially minded Financial & Revenue Performance Analyst to support a growing premium health, beauty and wellness company based in Iceland.

This is not a bookkeeping, accounting or general virtual assistant role.

We are looking for someone who is highly confident in Power BI, Excel, financial analysis, budgeting, forecasting and business performance reporting.

You should enjoy working with numbers, understanding how a business operates, identifying financial risks and opportunities, and turning data into clear, actionable recommendations.

You will work directly with the Founder/CEO, but the goal is not for you to wait for daily instructions.

We want someone who can gradually take ownership of our financial and operational performance monitoring, identify trends and potential problems early, and proactively recommend ways to improve revenue, profitability, cost efficiency and cash flow.

What You’ll Be Responsible For

Financial Planning, Budgeting & Forecasting

* Build and maintain our annual financial budget, broken down by month
* Forecast revenue, operating expenses, profitability and cash requirements
* Compare actual financial performance against budgets and targets
* Analyse monthly and year-to-date variances
* Explain why results are above or below expectations
* Maintain a rolling forecast for the remainder of the financial year
* Identify potential financial risks before they become problems
* Recommend corrective actions when the business is not on track to meet its targets

Cash Flow Monitoring & Forecasting

* Build and maintain a rolling 13-week cash-flow forecast
* Monitor expected cash inflows and outflows
* Identify potential cash shortages in advance
* Analyse how changes in revenue, expenses and payment timing affect cash flow
* Monitor progress against cash reserve targets
* Recommend practical actions to strengthen liquidity and cash generation
* Provide clear early warnings when action may be required

Cost Analysis & Expense Optimisation

* Review operating expenses and recurring subscriptions
* Identify unused software, unnecessary costs and duplicated services
* Analyse spending trends and unusual cost increases
* Compare actual expenses against budget
* Identify opportunities to reduce costs without negatively affecting operations
* Evaluate the potential financial impact of proposed savings
* Track whether approved cost-saving measures deliver the expected results

Revenue Performance & Growth Opportunities

* Analyse revenue trends by month, treatment category and service
* Monitor average sales value and revenue per client
* Identify opportunities to increase revenue from existing clients and services
* Evaluate potential pricing changes and their financial impact
* Analyse treatment packages, pricing structures and revenue opportunities
* Model different revenue scenarios and their expected financial outcomes
* Identify underperforming services and opportunities to improve profitability
* Proactively recommend practical ways to increase recurring revenue and overall business performance

We want someone who can say:

“If we increase the price of this treatment by a small amount, based on current sales volume, here is the potential monthly and annual financial impact.”

Or:

“Based on current trends, we may fall below next month’s revenue target. Here is the estimated gap and what I recommend we do.”

Capacity, Booking Utilisation & Revenue Forecasting

We operate a treatment-based clinic where revenue is closely connected to booking capacity and utilisation.

You will help us understand how effectively we are using our available capacity.

Responsibilities include:

* Monitor current treatment booking utilisation
* Analyse available treatment capacity versus booked appointments
* Forecast expected utilisation and revenue for the coming weeks and months
* Identify periods with low booking demand or underutilised capacity
* Identify situations where additional staff availability may be needed
* Analyse revenue generated per treatment and per booked hour
* Evaluate how improvements in utilisation could affect revenue and profitability
* Recommend when operational or sales actions may be required to improve performance

The goal is to identify opportunities and risks early, rather than reacting after the month has already ended.

Sales Performance & Treatment Profitability

* Analyse average transaction value and average revenue per client
* Calculate average realised revenue per treatment
* Analyse direct treatment costs where data is available
* Evaluate contribution margins across different treatment categories
* Identify which treatments generate the strongest financial returns
* Analyse revenue and contribution per treatment hour
* Evaluate the profitability of different pricing and package structures
* Identify opportunities to improve revenue without unnecessarily increasing operating costs

You should understand the difference between selling a prepaid treatment package, receiving cash and delivering the treatments over time.

Power BI Dashboards & Reporting

Strong hands-on Power BI experience is an essential requirement for this position.

You will be responsible for building and maintaining clear, practical dashboards that help management understand business performance.

This includes:

* Build and maintain interactive Power BI dashboards
* Import, clean and transform data using Power Query
* Create reliable data models and relationships
* Build DAX measures and financial KPIs
* Develop dashboards for revenue, expenses, profitability, cash flow, sales and utilisation
* Compare actual performance against budgets and forecasts
* Create clear visual indicators for trends, variances and potential risks
* Establish repeatable data refresh and reporting processes
* Document data sources, calculations and dashboard maintenance procedures
* Continuously improve reporting accuracy, clarity and usefulness

We are not looking for dashboards that simply look impressive.

We want dashboards that help us make better business decisions.

Proactive Financial Monitoring & Recommendations

One of the most important parts of this role is identifying what management needs to know before being asked.

You will be expected to:

* Monitor agreed financial and operational KPIs
* Identify significant changes or concerning trends
* Highlight risks to revenue, profitability and cash flow
* Investigate unexpected results
* Prepare concise explanations and recommended next steps
* Prioritise recommendations based on their likely financial impact
* Follow up on approved improvements and measure their results

We want someone who can say:

“I noticed this is not performing as expected. Here is what I found, what it means financially, and what I recommend we do next.”

Rather than simply waiting to be told what to analyse.

Initial Project — First Two Weeks

The position begins with an approximately 40-hour paid setup and analysis project, ideally completed within two weeks.

The purpose of this initial project is to establish a practical financial and operational performance monitoring system.

This will include:

* Reviewing available financial and operational data
* Analysing historical revenue and operating expenses
* Identifying initial cost-saving opportunities
* Establishing a monthly annual budget and forecast
* Building a rolling 13-week cash-flow forecast
* Creating an initial capacity and utilisation forecasting model
* Establishing key revenue, sales and profitability metrics
* Building the first functional Power BI management dashboard
* Preparing an initial financial performance report
* Presenting key findings, risks, opportunities and recommended actions
* Documenting the ongoing reporting and monitoring process

The goal is to create a reliable, usable first version of the system, not to spend unnecessary time building something overly complicated.

More advanced automation or additional analysis can be developed later if justified.

Successful completion of the initial project may lead to an ongoing part-time position.

Ongoing Responsibilities

After the initial setup, the role will focus on maintaining the system and providing regular financial and operational insights.

Weekly:

* Update cash-flow and short-term revenue forecasts
* Monitor upcoming booking utilisation
* Identify important risks, variances and opportunities
* Flag issues requiring management attention

Monthly:

* Update financial dashboards and management reports
* Compare actual performance against budget
* Review revenue, costs, profitability and cash generation
* Update forecasts for the remaining year
* Review cost-saving and revenue improvement opportunities
* Present a concise summary of findings and recommended actions

We value clear conclusions and useful recommendations over lengthy reports.

The Person We Are Looking For

You may be a strong fit if you:

* Have proven experience in financial planning and analysis (FP&A)
* Have strong, practical experience with Microsoft Power BI
* Are highly proficient in Excel or Google Sheets
* Can independently build budgets and financial forecasts
* Understand cash-flow forecasting and financial performance analysis
* Are comfortable analysing revenue, expenses and profitability
* Have experience creating financial dashboards and KPI reports
* Understand data modelling, Power Query and DAX
* Can work with data from different business systems
* Have strong analytical and problem-solving skills
* Understand the commercial impact behind financial numbers
* Have excellent written English
* Have exceptional attention to detail
* Can work independently with minimal supervision
* Are proactive, reliable and highly organised
* Can explain complex financial information in simple, practical language
* Naturally look for ways to improve business performance

Experience with service-based businesses, clinics, wellness businesses or appointment-based operations is a strong advantage.

Experience with Shopify, booking systems or financial reporting automation is also an advantage.

Most importantly, we want someone who thinks beyond the spreadsheet.

Someone who understands that the purpose of financial analysis is not simply to report what happened, but to help the business make better decisions about what happens next.

How We Work

We use Notion as our central operating system.

Your tasks, projects, deadlines, documentation and time tracking will be managed there.

Financial models and reporting may be maintained in Excel or Google Sheets, with Power BI used as our primary management dashboard.

We believe in clear ownership, reliable reporting and proactive communication.

For recurring responsibilities, the goal is that you know what needs to be reviewed, when it needs to be updated and what good performance looks like without the CEO having to assign every individual task.

We also value documentation.

If something becomes recurring, we want to turn it into a repeatable process, template, checklist or automation.

The objective is to make our financial reporting more accurate, efficient and increasingly independent of the Founder/CEO.

Hours & Compensation

* Initial paid project: approximately 40 hours over two weeks
* Ongoing workload: approximately 3 hours per week / 12 hours per month
* $8–12 USD/hour, depending on experience and demonstrated capabilities
* Long-term opportunity for the right person
* Fully remote position
* Paid hourly with time tracking
* Initial 3-month probationary period for the ongoing role
* Additional hours only by prior agreement

We care more about accuracy, commercial insight, ownership and results than simply logging hours.
