Hi! We are a growing residential cleaning company looking for an experienced GoHighLevel (GHL) workflow automation specialist to help us complete several projects inside our CRM, TidyTrack.
We already have many of the ideas, processes, and outlines in place. We need someone who can come in, understand what we're trying to accomplish, simplify it where needed, and turn those ideas into clean, reliable workflows.
This is a short-term project rather than an ongoing VA position. We anticipate approximately 20–40 hours of work over 2–4 weeks, depending on the projects and how quickly they are completed. There may be additional projects in the future if we work well together.
WHAT YOU'LL HELP US BUILD
Projects may include:
New client onboarding – Automating tags, service agreements/e-signatures, welcome information, forms, and placing clients into the appropriate workflows.
Lead and quote follow-up – Creating thoughtful follow-up workflows for potential clients who haven't booked.
Client loyalty program – Our program is already outlined. We need help building the tracking, tags, milestones, and automations behind it.
Referral tracking – Creating a simple system for tracking referrals, rewards or credits, and appropriate follow-up.
Post-service workflows – Feedback, review requests, reminders, and appropriate Client Care follow-up.
Past-client reactivation – Creating thoughtful follow-up for previous or inactive clients.
Internal Client Care automations – Tasks, reminders, tags, and notifications that reduce repetitive manual work.
There may also be additional smaller workflow projects as we work through our list.
WHO WE'RE LOOKING FOR
We are looking for someone who is already very comfortable with GoHighLevel and CRM automation.
TidyTrack itself may be new to you, and that's okay. We are looking for someone experienced enough with HighLevel that you can enter a HighLevel-based system, understand how it is structured quickly, and begin working without needing extensive training.
You should be comfortable with workflows, triggers, conditions, tags, custom fields, forms, documents and e-signatures, pipelines,
We especially appreciate someone who can look at an idea and say, "There's a simpler way to accomplish this."
We don't want to automate everything. Our client experience is important to us. We want to automate repetitive behind-the-scenes work while keeping the right client interactions personal and human.
WHAT DONE LOOKS LIKE
For us, a project isn't complete just because the workflow has been created.
Each project should be built, tested, working, organized, and documented.
For each workflow, we would also like a simple SOP or workflow guide explaining what it does and how it works.
We aren't looking for lengthy technical manuals. We want clear, simple documentation that a non-technical team member can understand and that another specialist could use in the future if changes are needed.
Most of our individual projects should be manageable within approximately one working day or less for someone experienced, although we understand that more complex workflows may take longer.
HOW TO APPLY
Please start your application with the words "Workflow Ready" and include:
1. A short introduction and your experience with GoHighLevel.
2. Two or three examples of workflows or automations you have personally built and what they accomplished.
3. An example of how you document your work. A simple SOP, workflow map, Loom walkthrough, or similar example is great.
4. Your availability over the next 2–4 weeks.
5. Your hourly rate.
One final question:
If you were given access to a HighLevel-based CRM you've never used before, what would you look at first before you started building?
We are a small, growing company that values thoughtful, dependable people who enjoy making systems simpler, not more complicated.
We look forward to hearing from you!
