JOB OVERVIEW

Remote Home Health Scheduling Admin | Direct Scheduling Experience Required

Location: Remote | International Applicants Welcome
Engagement: Independent Contractor | Long-Term Opportunity
Schedule: U.S. Eastern Time Business Hours + Assigned On-Call Coverage

About the Opportunity

We are seeking an experienced Remote Home Health Scheduling Coordinator to support caregiver scheduling and client service operations for a U.S.-based home care organization.

This opportunity is ideal for someone who has direct experience coordinating employee schedules, managing staffing changes and ensuring service coverage in a fast-paced environment.

Prior hands-on scheduling experience in home health, home care, healthcare staffing or another high-volume, shift-based workforce environment is required.

We are not looking for someone whose scheduling experience is limited to calendar management, appointment setting or arranging meetings. We need someone who has been directly responsible for coordinating staff assignments, addressing scheduling conflicts, filling open shifts and responding to last-minute staffing changes.

Home health and home care scheduling experience is strongly preferred.

We are looking for someone who can take ownership of scheduling responsibilities, communicate professionally with caregivers and clients and remain calm and resourceful when unexpected staffing challenges arise.

Key Responsibilities

Coordinate caregiver schedules based on client needs, caregiver qualifications, availability and continuity of care.

Match caregivers with clients while maintaining schedule consistency and minimizing overtime, cancellations and unnecessary changes.

Respond promptly to caregiver callouts, cancellations, open shifts and last-minute scheduling changes.

Identify available caregivers and coordinate coverage for urgent or difficult-to-fill shifts.

Communicate assignments, schedule changes and important information to caregivers, clients and internal teams.

Maintain accurate caregiver availability, qualifications, schedules and related information in company systems.

Document scheduling activity, communications, changes and follow-up.

Resolve scheduling conflicts and address caregiver and client concerns professionally.

Monitor phone, email and electronic communications during assigned working hours and on-call periods.

Coordinate closely with operations, client care and workforce teams.

Assist with caregiver recruiting, interviewing and onboarding coordination when needed.

Participate in assigned evening, overnight, weekend and holiday on-call coverage.

Maintain strict confidentiality of client, caregiver and company information.

Perform other related administrative and scheduling support as needed.

Required Qualifications

Applicants must meet all of the following qualifications:

Direct professional experience coordinating employee or workforce schedules, including shift assignments, staffing changes and coverage needs.

Experience managing callouts, cancellations, open shifts, scheduling conflicts or comparable time-sensitive staffing challenges.

Experience scheduling multiple employees, caregivers, healthcare workers, field personnel or other shift-based staff.

Strong spoken and written English communication skills.

Excellent telephone and customer service skills.

Demonstrated ability to manage competing priorities and respond quickly to urgent staffing needs.

Strong organization, attention to detail, documentation and follow-through.

Ability to work independently, make sound scheduling decisions and escalate issues appropriately.

Experience using scheduling software, workforce management platforms, CRM systems or comparable business applications.

Proficiency with Microsoft Office, email and cloud-based business systems.

Ability to communicate professionally with U.S.-based clients, employees and management.

Ability to maintain confidentiality and appropriately handle sensitive information.

Reliable availability during required U.S. Eastern Time working hours and assigned on-call periods.

Important: General virtual assistant experience, calendar management, appointment setting, administrative support or customer service experience alone does not satisfy the required hands-on workforce scheduling experience.

Applicants must demonstrate that they have been directly involved in coordinating employee schedules and addressing staffing or shift coverage needs.

Preferred Qualifications

Direct experience scheduling home health aides, caregivers, personal care attendants, nurses or other home care personnel.

Experience working with U.S.-based home health, home care or healthcare staffing organizations.

Experience managing high-volume schedules across multiple employees, clients or locations.

Familiarity with home care scheduling platforms such as WellSky Personal Care (ClearCare), HHAeXchange, AxisCare, AlayaCare or comparable systems.

Experience managing after-hours scheduling emergencies, caregiver callouts and urgent shift coverage.

Experience with caregiver recruiting, onboarding, availability tracking or employee coordination.

Understanding of continuity of care, caregiver/client matching and minimizing unnecessary schedule disruptions.

Experience handling difficult client or employee conversations and resolving service-related concerns.

Strong problem-solving skills and the ability to independently prioritize urgent scheduling needs.

Work Schedule & On-Call Expectations

Remote independent contractor engagement.

Primary responsibilities support U.S. Eastern Time daytime business hours, Monday-Friday.

Regular working hours will generally fall within 8:00 AM-8:00 PM U.S. Eastern Time, depending on operational needs.

Assigned on-call coverage is required and may include evenings, overnight hours, weekends and holidays.

On-call responsibilities include responding to caregiver callouts, cancellations, uncovered shifts and other urgent scheduling matters.

Expected total commitment averages approximately 50-60 hours per week, including assigned on-call coverage.

The distribution of regular working hours and on-call coverage may vary based on business needs.

Applicants must carefully consider the time difference between their location and U.S. Eastern Time before applying.

Reliable availability during both regular working hours and assigned on-call periods is essential.

Equipment & Remote Work Requirements

As an independent contractor, applicants must provide and maintain:

A reliable personal computer suitable for daily business use.

High-speed internet connectivity.

Backup internet and power arrangements.

A quiet, professional workspace suitable for telephone and Zoom communications.

A current operating system with security updates.

Active firewall and reputable antivirus/endpoint security protection.

A secure, password-protected computer that is not shared with unauthorized individuals.

Applicants must be comfortable working independently and communicating regularly with U.S.-based teams.

Compensation & Engagement

Compensation will be based on relevant scheduling experience, demonstrated capabilities and the contractor's proposed monthly rate.

Applicants must provide an all-inclusive monthly contractor bid in USD, based on an anticipated total commitment averaging 50-60 hours per week.

The proposed monthly bid must include regular weekday scheduling responsibilities and all assigned on-call coverage. There is no separate hourly rate or additional on-call payment.

Applicants should consider the complete scope of responsibilities, varying on-call requirements, availability expectations and their own equipment, internet and security expenses when determining their monthly bid.

This is an independent contractor opportunity without employee benefits. Payments are made monthly on Net 30 terms through an approved payment method.

The arrangement includes 10 paid days off per year and paid holidays. Planned time away must be coordinated in advance to ensure appropriate scheduling coverage.

We are interested in developing an ongoing contractor relationship, with an initial engagement of up to one year and potential renewal based on business needs, performance and overall fit.
