JOB OVERVIEW

Location: Philippines – Remote
Hours: 9:00 AM–5:00 PM U.S. Pacific Time
Position: Full-Time, Internal Team Role

About the Role
Wicked Bionic is looking for an experienced Advertising & Media Project Manager to support our internal advertising and marketing team and keep projects, media, creative, content, information, and deadlines moving efficiently.
This is a non-client-facing position focused entirely on supporting our internal team.

This role requires someone who has built their career in advertising and understands media buying and advertising agency workflow. You need to understand how advertising campaigns move from strategy and planning through creative development, media planning and buying, trafficking, launch, optimization, and reporting.

You will not be responsible for developing media strategy or buying media yourself, but you must understand the process well enough to effectively support the people who do.

We are looking for someone who is exceptionally organized, proactive, and accountable. You know how to move work from one resource to the next, manage multiple deadlines, follow up before something becomes late, and make sure team members have what they need to complete their work.

The work can range from coordinating creative and media deliverables to pulling data for a report, updating tracking spreadsheets, organizing campaign information, maintaining Google Drive folders, tracking approvals, or making sure the next person in a workflow has everything they need.

If something is due Friday, no one should need to ask you on Friday whether it was completed.

What You’ll Do
- Support the internal advertising and marketing team across multiple campaigns and projects.
- Manage internal project timelines, assignments, deliverables, approvals, and deadlines.
- Coordinate workflow between strategy, creative, media planning and buying, trafficking, reporting, and other internal resources.
- Track media-related deadlines, assets, specifications, approvals, campaign information, and reporting needs.
- Make sure creative assets, information, and data get to the right team member at the right time.
- Proactively follow up on outstanding items before they affect a deadline.
- Maintain accurate project trackers, spreadsheets, status reports, calendars, and working documents.
- Pull, compile, and organize campaign data needed for reports and presentations.
- Gather information from multiple sources and turn it into organized, usable information for the team.
- Maintain highly organized Google Drive folders and file structures.
- Ensure documents, creative assets, reports, and working files are properly named, stored, updated, and easy to find.
- Track revisions, approvals, outstanding questions, responsibilities, and next steps.
- Prepare for internal meetings by identifying deadlines, missing information, and items requiring action.
- Document action items and follow through until they are completed.
- Identify inefficiencies and improve how the team organizes projects, information, files, and recurring processes.
- Step in wherever needed to support the team and get important work across the finish line.

Required Experience
- Professional advertising agency experience, including hands-on experience supporting media planning and buying workflows from campaign planning through execution and reporting, is required.
- Understanding of the relationship between media plans, creative assets, trafficking, campaign launch, optimization, and reporting.
- Demonstrated experience managing multiple advertising projects, deadlines, and deliverables simultaneously.
- Strong spreadsheet and project-tracking skills.
- Excellent organizational skills and meticulous attention to detail.
- Strong experience with Google Workspace, particularly Google Drive, Google Sheets, Google Docs, and Google Slides.
- Strong written and spoken English.
- Experience working successfully as part of a remote team.
- Must be available to work a consistent 9:00 AM–5:00 PM U.S. Pacific Time schedule.

The Person We’re Looking For
- You are the person who keeps things moving.
- You don't wait until a deadline to discover something is missing. You notice it early and go get it. You don't need to be reminded twice about an assignment. You follow through.
- You understand advertising and media well enough to anticipate what the creative team, media team, or reporting team will need next.
- You are an overachiever by nature. When you finish your own work, you look at what else needs attention. You notice the spreadsheet that hasn't been updated, the folder that needs organizing, the data that still needs to be pulled, or the deliverable that hasn't moved to the next person.
- You are organized, resourceful, responsive, and accountable. You enjoy supporting a busy team, are comfortable juggling many moving pieces, and take pride in making the people around you more effective.
- You enjoy being an important part of a team that works well together.

What Success Looks Like
The team operates better because you are there.

Projects move. Deadlines are met. Media and creative deliverables don't fall through the cracks. Tracking documents are current. Data is ready when reports are due. Files are where they belong. Information is easy to find. Team members know what they owe and when they owe it.

When you take responsibility for something, the team knows it will get done accurately and on time without having to ask twice.
