Medical Virtual Assistant / Patient Care Coordinator – Excellent English Required
We are a busy private medical practice in Pennsylvania, USA looking for a reliable, highly organized Medical Virtual Assistant / Patient Care Coordinator for a long-term position.
This is a patient-facing position. You will regularly speak with patients, physician offices, insurance companies, imaging facilities, and other healthcare organizations.
Excellent spoken and written English is required. You must be easy for U.S. patients to understand and comfortable carrying on natural, professional telephone conversations.
HOURS
Approximately 30–40 hours per week, working during U.S. Eastern Time business hours.
Dependable availability during scheduled hours is required because you will be supporting a live medical practice and answering patient calls.
Our clinical schedule varies by day. During periods of lower phone volume, you will be expected to independently move to other assigned responsibilities rather than wait for additional work.
RESPONSIBILITIES
- Answer incoming patient calls
- Make necessary outbound patient calls
- Schedule and reschedule appointments according to established protocols
- Follow up on missed calls, voi
- Insurance eligibility and benefits verification
- Prior authorizations and precertifications
- Request and follow up on medical records
- Process incoming faxes and documents
- Follow up on imaging, referrals, and outstanding patient items
- Follow up with new-patient leads
- Track unresolved items through completion
- Assist with medical scribing/documentation during patient encounters
- Maintain accurate documentation in the EMR
- Complete back-office administrative responsibilities during lower phone-volume periods
- Provide an accurate end-of-day report of completed and outstanding work
We currently use DrChrono, RingCentral, IntakeQ, and Google Workspace. Experience with these systems is helpful but not required if you are comfortable learning new technology.

- Has excellent spoken English and clear pronunciation
- Has excellent written English
- Is comfortable speaking with U.S. patients by telephone
- Has medical office or healthcare VA experience, podiatry experience a plus
- Is organized and detail-oriented
- Can follow established protocols consistently
- Has excellent follow-through
- Can prioritize urgent and time-sensitive responsibilities
- Can manage multiple responsibilities throughout the day
- Works independently without constant supervision or repeated reminders
- Communicates proactively when there is a problem
- Understands that forwarding or assigning a task does not necessarily mean the responsibility is complete
- Has reliable attendance, internet, and a quiet professional work environment
- Is interested in a stable, long-term position
This is an active, multi-tasking position. When you are not actively handling patient calls, you will be expected to move to responsibilities such as insurance verification, prior authorizations, medical records, patient follow-up, scribing/documentation, and outstanding tasks.
We are looking for someone who can recognize what needs attention, follow established priorities, and follow tasks through to completion without needing constant direction.
