About us

Josi supports behavioral-health practices delivering virtual autism and ADHD evaluations and related services. We are building the operational systems, technology, and team that help licensed clinicians serve individuals and families more effectively.

We’re building something meaningful, and we need people who want to help build it, not just maintain an existing playbook. This is a role for someone who is comfortable with changing priorities, takes initiative, and can bring structure to work that is not yet fully defined.

The role

You’ll work closely with leadership to translate priorities into action, coordinate projects across teams, and keep important work moving. Some days that means researching a business question or preparing a recommendation; other days it means building a tracker, improving a process, or following up with several people to resolve a bottleneck.

This is not primarily a calendar-management or inbox-support role. You need to be willing to handle practical coordination when necessary, but your value will come from sound judgment, independent problem-solving, and consistent execution.

We are open to both experienced Chief of Staff candidates and strong junior candidates ready for greater responsibility. The title and scope will reflect your experience and demonstrated ability, rather than your prior job title alone.

Your initial focus

You will start by owning practical patient-engagement and brand-building initiatives, not just tracking other people's tasks. We want someone who can take an idea, build the process, coordinate the people involved, launch it, and measure whether it is working.

- Build and run our client-review outreach process: Coordinate leadership-approved outreach inviting honest, voluntary reviews from eligible clients, organize reminders and follow-up, track activity and results, and improve the process over time. Protect patient privacy, follow company and platform requirements, and never pressure clients or condition a benefit on leaving a review or giving a particular rating.
- Create a patient-designed logo and swag program: Develop a voluntary program where patients can submit original artwork or logo concepts for potential use on company swag. Own the program plan, submission workflow, selection process, vendor coordination, production timeline, and rollout, with appropriate patient or guardian consent and permission to use the designs before publication or production.
- Turn these projects into repeatable programs: Define milestones, budgets for leadership approval, success measures, and clear responsibilities. Bring leadership concise recommendations and keep execution moving without constant reminders.

The artwork and swag program is separate from review outreach; participation or swag will not be offered in exchange for a review. Your responsibilities will broaden as these initial programs take shape and company priorities evolve.

What you’ll be doing

- Turn priorities into execution: Break leadership goals into actionable plans with clear owners, deadlines, milestones, and follow-through.
- Own projects from start to finish: Coordinate cross-functional initiatives, track dependencies, flag risks early, and help get work completed.
- Keep leadership and teams aligned: Prepare agendas, capture decisions, maintain action-item trackers, and make sure meetings lead to progress.
- Build and improve processes: Identify gaps, document SOPs, improve handoffs, and create repeatable systems instead of relying on constant reminders.
- Create useful KPIs and reporting: Help define success measures, build dashboards and trackers, check data quality, and explain what the numbers mean.
- Research and solve problems: Evaluate tools and vendors, investigate operational issues, and present practical options with clear recommendations.
- Support company-wide initiatives: Work with operations, recruiting, finance, technology, and clinical administration on assigned projects, launches, and improvements.
- Communicate clearly: Draft concise updates, presentations, and business correspondence that make the next steps easy to understand.
- Find smarter ways to work: Use approved technology, AI tools, and automation thoughtfully, verify outputs, and protect confidential information.

This is a non-clinical role. Clinical decisions remain with licensed professionals, and all work must follow company privacy, security, and access requirements.

- Are organized and detail-oriented: You can manage competing priorities without losing track of commitments or overlooking important details.
- Are comfortable with data: You can use Excel or Google Sheets to organize information, track KPIs, and support business decisions.
- Exercise good judgment: You know when to act independently, when to ask questions, and when to escalate a decision or concern.
- Learn quickly: You are comfortable learning new systems and working within healthcare privacy and compliance requirements.
- Are ready for remote work: You have a private, professional workspace, reliable equipment and internet, and availability for the agreed U.S. working hours.

For the junior level, relevant experience may include operations, project coordination, business analysis, or executive support with meaningful project ownership. For the Chief of Staff level, we are looking for a demonstrated record of independently leading cross-functional work and serving as a trusted partner to leadership.

Startup, healthcare, telehealth, and U.S.-team experience are helpful, but a strong track record of ownership, judgment, and results matters more than checking every industry box. We welcome candidates who can show what they have built, improved, or delivered.

Our interview process

The interview process will include an interview with members of our leadership team, followed by a take-home assignment for candidates selected to advance. The leadership interview will focus on your experience, judgment, communication, and approach to working in a startup environment.

The take-home assignment will give you an opportunity to demonstrate how you organize information, prioritize competing needs, solve an operational problem, and communicate your recommendations. Instructions, the expected time commitment, and the submission deadline will be provided when the assignment is shared.
