About the Position

We are an established real estate management company seeking a highly organized, motivated, and dependable Remote Real Estate Project Manager to join our property management and maintenance operations team.

This is an important management and coordination position within our company. The Project Manager will serve as a central point of communication between our tenants, office staff, and in-house maintenance team to ensure that maintenance issues and property-related projects are properly documented, coordinated, followed up on, and brought through to completion.

This is not a maintenance or construction position. You will not be performing repairs yourself. Your responsibility is to manage the process remotely—making sure communication is handled professionally, assignments are followed up on, outstanding items continue moving forward, and nothing falls through the cracks.

We are looking for someone who takes ownership of their responsibilities and enjoys bringing organization and accountability to a fast-moving environment.

Previous real estate or property management experience is NOT required. We are more interested in finding someone who is exceptionally organized, communicates well, follows through, and is comfortable managing many different tasks at the same time.

What You’ll Be Doing

As our Remote Project Manager, you will remotely oversee the progress of maintenance requests and other property-related matters across our New York City portfolio.

Your responsibilities will include:

* Monitoring incoming tenant communications and maintenance-related matters.
* Reviewing open maintenance requests and understanding what needs to be accomplished.
* Following up with tenants when additional information, access, scheduling, or confirmation is required.
* Communicating professionally with tenants regarding scheduling, progress, and completion of repairs.
* Coordinating remotely with our in-house maintenance supervisors and maintenance personnel.
* Making sure maintenance requests are assigned to the appropriate team members.
* Following up consistently with the maintenance team until assigned repairs are completed.
* Tracking outstanding work and identifying items that have not progressed as expected.
* Keeping detailed and organized records of open projects, communications, follow-ups, and completed work.
* Maintaining and updating Excel spreadsheets and internal tracking systems.
* Reviewing outstanding items daily and making sure appropriate follow-ups occur.
* Coordinating access between tenants and maintenance personnel.
* Making sure tenants receive appropriate updates rather than having to repeatedly contact the company for information.
* Obtaining updates, photographs, and completion information from the maintenance team when appropriate.
* Escalating urgent, delayed, or complicated matters to management.
* Confirming that work has been completed before closing out outstanding items.
* Sending professional close-out communications to tenants when repairs are completed.
* Helping management maintain visibility into what is outstanding, what is in progress, and what has been completed.
* Managing multiple active projects and maintenance matters simultaneously.
* Working closely with company management to improve organization, response times, communication, and accountability throughout the maintenance process.

Real Estate Experience Is NOT Required

Prior real estate management or property management experience is not necessary for this position.

We can teach the right candidate our systems, terminology, procedures, and maintenance workflow.

What is much harder to teach—and what we value most—is someone who is naturally organized, responsible, professional, persistent, and capable of managing a large number of moving pieces.

Candidates with backgrounds in project management, operations, customer service, administrative management, office management, hospitality, construction coordination, executive assistance, logistics, scheduling, or other fast-paced environments may be particularly well suited for this position.

Excel & Technology

Strong computer skills are important.

You should be comfortable working extensively with Microsoft Excel, email, online property-management systems, messaging platforms, and other digital tools.

You do not need to be an advanced Excel programmer, but you should be very comfortable maintaining spreadsheets, organizing information, updating project statuses, filtering information, and using Excel as a daily management and tracking tool.
