Online Business Manager & Team Lead

The Webinar Room is a membership for course creators and coaches who want their webinars to convert. We launched in May 2026 and have 330+ members across the US, Canada, Europe, and Australia. We also run Swedish-language programs for entrepreneurs. All team communication is in English.

I'm Emelie, the founder, with 16 years of experience in online education. I work a focused four-hour day and spend my time on strategy, teaching, and launches. I'm looking for someone to take care of our team, so that everyone knows what to do, feels supported, and can move forward without me.

What you'll own

• The team, first and foremost. Regular 1:1s with each person, knowing how they're doing, what they need, and what's in their way. You're the one they come to, not me.
• Protecting my focus. You're the first point of contact for the team. You filter what reaches me and batch it into my fixed Slack windows.
• Onboarding new team members, including our new Customer Support & Operations Assistant, with clear roles, playbooks, and a good start.
• Weekly team check-ins: priorities, follow-up, and clear, kind conversations when something isn't working.
• Asana as our single source of truth, so everyone can see what they own and by when.
• Coordinating launches and projects together with the team: 3–4 launches per year, plus migrations, evergreen funnels, and live events.
• A weekly report to me: how the team is doing, what's on track, and what needs my decision.
• Improving processes and documentation, using Claude to build reusable systems.

Our team members are independent contractors, so you'll lead through clarity, trust, and agreements rather than hierarchy.

What success looks like after 90 days

The team runs its weekly priorities without me, every project lives in Asana, support answers within one business day, and our next launch ships on time.

Must have

• 3+ years leading a team in an online course, membership, or coaching business, with people management as a core part of your role.
• A warm, direct leadership style: you build trust and still hold people accountable.
• Hands-on launch experience (webinars, email sequences, sales periods).
• Strong Asana skills. Kajabi and ThriveCart experience is a big plus.
• Confidence using Claude for practical work, with the judgment to review its output.
• Excellent written English and a calm, structured way of working.
• Reliable overlap with Central European Time mornings (roughly 8 am–12 pm CET), Monday–Friday.

Tools: Asana, Slack, Kajabi, ThriveCart, Stripe, Claude, and Google Workspace.

Terms

Monthly retainer plus a performance bonus. The role starts at around 80 hours per month (about 20 hours per week), with more during launch weeks, and the goal of growing into a full-time role. A 90-day trial period applies. Confidentiality and data-processing agreements are required.
