Virtual Assistant – Home Health Intake

100% Remote | $500 USD/Month + Performance Bonus
Schedule: U.S. Pacific Time
Wellspring Home Health Center is seeking an experienced and highly motivated Virtual Assistant – Home Health Intake to manage our referral-to-admission process.
This is NOT a general administrative VA position. You must have healthcare/home health intake experience, excellent computer skills, reliable high-speed internet, and be very fluent in spoken and written English.
Primary Responsibilities
Monitor AIDA, CarePort/WellSky, eFax, secure
Respond promptly to new referrals
Follow up with U.S. hospital case managers, discharge planners, physician offices, patients, and families
Obtain complete referral documentation
Verify Medicare and other insurance eligibility
Check for existing Medicare home health episodes
Review diagnoses for ICD-10 and PDGM requirements
Identify incomplete or questionable referral information and obtain clarification
Coordinate start-of-care with the clinical team
Enter accurate referral information into the EMR
Maintain an active referral worklist
Provide same-day referral status updates
Track admissions, referral sources, pending cases, conversion rates, and declined referrals
Assist with professional, HIPAA-compliant referral outreach and social media activities
Required Qualifications
Home health, healthcare intake, medical VA, hospice, hospital, or post-acute experience
Experience with AIDA, CarePort/WellSky, or similar referral portals
Knowledge of Medicare Home Health, ICD-10, and PDGM
Experience with insurance eligibility verification
EMR/EHR experience
Very fluent spoken and written English
Must speak clearly and professionally with U.S. healthcare professionals
Excellent telephone and
Strong attention to detail and follow-through
Able to work independently during U.S. Pacific Time hours
HIPAA knowledge and ability to maintain patient confidentiality
Experience with CareVoyant, WellSky, Axxess, Homecare Homebase, Medicare, Medicaid, Medicare Advantage, VA, or TriCare is a plus.
Computer Requirements
You must have:
Reliable, good-quality computer
High-speed internet
Backup internet plan
Quality headset and webcam
Private, quiet workspace
Strong computer and multi-tasking skills
Ability to work with multiple portals and EMR systems simultaneously
Dual monitors strongly preferred
Compensation
Base Pay: $500 USD per month
Monthly Performance Bonus
Performance bonuses are available for qualified, completed Medicare admissions above the monthly baseline:
0–10 admissions: No admission bonus
11–30 admissions: $5 for each qualified admission above 10
31–60 admissions: $10 for each qualified admission above 30, in addition to the bonus already earned for admissions 11–30
61+ admissions: Eligible for additional performance review/bonus consideration
Example
If you complete 30 qualified Medicare admissions, your monthly bonus is $100.
If you complete 40 qualified Medicare admissions, your monthly bonus is $200.
If you complete 50 qualified Medicare admissions, your monthly bonus is $300.
If you complete 60 qualified Medicare admissions, your monthly bonus is $400.
Potential monthly compensation: $500 base + up to $400+ in performance bonuses.
What Counts as a Qualified Admission?
For bonus purposes, an admission must:
Meet Wellspring's acceptance criteria
Meet applicable Medicare home health eligibility requirements
Have required referral and eligibility documentation completed
Have insurance/Medicare eligibility appropriately verified
Be accepted based on clinical need and agency capacity
Complete the admission/start-of-care process
Not be a duplicate or inappropriate Medicare episode
Have accurate intake information entered into the EMR
Simply accepting a referral in AIDA, CarePort, or another portal does not qualify for a bonus.
Quality and compliance come before volume. Employees must never accept an inappropriate patient simply to meet an admission target or earn an incentive.
