Remote IT Infrastructure, Low-Voltage & Project Accounting Coordinator

A U.S.-based IT infrastructure, networking, telecommunications, and low-voltage contractor supporting commercial and government customers throughout the United States.

Our projects include network infrastructure deployments, structured cabling, wireless infrastructure, equipment installation, site surveys, troubleshooting, equipment staging, and multi-site field deployments.

We are looking for a highly capable IT Infrastructure, Low-Voltage & Project Accounting Coordinator who can help manage projects from initial customer request through technical planning, procurement, field execution, closeout, invoicing, and financial reconciliation.

This is not a basic Virtual Assistant position.

The successful candidate must combine:

IT/networking knowledge + low-voltage knowledge + project management + field-service coordination + procurement + logistics + accounting/job costing.

We are looking for someone capable of taking ownership of projects rather than simply waiting for individual tasks.

PRIMARY RESPONSIBILITIES

IT Infrastructure & Low-Voltage Project Coordination

Coordinate multiple IT infrastructure and low-voltage projects simultaneously.

Responsibilities include:

* Review customer Statements of Work (SOWs), purchase orders, work orders, drawings, and project requirements.
* Develop project schedules and implementation plans.
* Coordinate field technicians and subcontractors.
* Schedule site visits, surveys, installations, troubleshooting, and remediation.
* Coordinate customer/site access.
* Maintain project schedules, milestones, dependencies, and deadlines.
* Track project status from award through final closeout.
* Identify risks, missing information, scheduling conflicts, and project dependencies.
* Communicate professionally with customers, technicians, subcontractors, suppliers, and management.
* Escalate technical, operational, financial, or scheduling problems before they impact project delivery.

The coordinator will frequently manage multiple geographically distributed U.S. sites at the same time.

Candidates must have practical knowledge of IT infrastructure and structured cabling.

You do not need to be a senior network engineer, but you must understand enough networking and low-voltage infrastructure to recognize obvious technical problems and communicate effectively with field technicians and engineers.

You should be capable of asking intelligent technical questions when drawings or requirements are incomplete.

BILL OF MATERIALS (BOM) DEVELOPMENT

A major responsibility of this position is developing and validating project BOMs.

You must be able to translate project requirements into equipment and material requirements.

* Identify missing BOM items.
* Compare BOM requirements against drawings and SOWs.
* Maintain accurate project material costs.

PROCUREMENT & MATERIAL SOURCING

You will help source equipment and materials throughout the United States.

Responsibilities include:

* Identify suppliers.
* Obtain vendor quotes.
* Compare pricing.
* Verify manufacturer/model/part numbers.
* Verify product availability.
* Identify acceptable alternatives when authorized.
* Compare shipping costs and lead times.
* Prepare purchase orders.
* Track orders.
* Track shipments.
* Confirm delivery.
* Resolve missing/damaged shipments.
* Coordinate material delivery to warehouses, technicians, or project sites.
* Maintain approved vendor information.
* Match purchases to the correct project/site.

The lowest price is not always the correct purchasing decision. You must consider compatibility, availability, shipping, project schedule, and customer requirements.

FIELD CREW MANAGEMENT

Coordinate field technicians and subcontractors throughout the United States.

A technician saying “the job is complete” does not automatically mean the project is complete.

ACCOUNTING & PROJECT FINANCIAL MANAGEMENT

Accounting experience is required for this position.

Candidates must understand operational accounting and project/job costing.

You should understand the relationship between:

Customer PO → Project Budget → Vendor PO → Vendor Invoice → Expense → Customer Invoice → Accounts Receivable → Customer Payment → Project Profit

Responsibilities include:

Accounts Payable

* Review vendor invoices.
* Match invoices against purchase orders.
* Match purchases against receipts/delivery records.
* Code expenses to the appropriate project/site.
* Identify duplicate or incorrect invoices.
* Maintain vendor records.
* Prepare bills for approval.
* Track outstanding vendor obligations.

Accounts Receivable

* Prepare customer invoice packages.
* Confirm billing requirements.
* Verify project documentation before billing.
* Submit/track invoices.
* Track invoice acceptance.
* Maintain AR aging.
* Follow up professionally on overdue invoices.
* Identify completed-but-unbilled projects.

Job Costing

Track project costs including:

* Labor
* Materials
* Travel
* Hotels
* Rental vehicles
* Equipment rentals
* Freight/shipping
* Subcontractors
* Warehouse/storage
* Miscellaneous project expenses

You should be able to compare:

Estimated Cost vs. Committed Cost vs. Actual Cost vs. Revenue vs. Expected Profit

and investigate discrepancies.

Reconciliation

You may be required to reconcile:

* Credit-card transactions
* Receipts
* Vendor invoices
* Purchase orders
* Technician expenses
* Customer invoices
* Customer payments
* Project financial records

Experience with QuickBooks Online or comparable accounting software is required.

Formal accounting certification is not required, but you must understand bookkeeping fundamentals and project accounting.

Candidates must have demonstrated project-management experience.

Strong preference will be given to candidates holding one or more of the following:

PMP is strongly preferred.

Candidates without PMP certification may still qualify if they have substantial demonstrated IT infrastructure/network deployment project-management experience.
