About the Role
We're looking for an experienced Virtual Assistant to work closely with the CEO and support our client administration team.
This is a role that touches sensitive information every day — team pay, HR records, performance conversations, client and facilitator data — so a strong, natural sense of discretion is essential. We need someone confident and proactive: someone who spots what needs attention before it becomes a problem, brings their own judgement to how things should be done, and isn't afraid to challenge an existing process if there's a better way.
Key Responsibilities
Day-to-day support to the CEO

● Taking care of administrative tasks related to the CEO’s projects
● Maintaining the cost matrix, tracking all recurring costs, and keeping the equipment list up to date
Team Administration
● HR support including team onboarding / offboarding process and scheduling quarterly reviews
● Event administration: hotel bookings, venue bookings and some tradeshow logistics
● Keep processes up to date through the SOP and FAQ documents
● Keep the Google Drive organised and easy to navigate
● Manage payments to our Philippines-based team members
● Process expense payments to the internal team
● Facilitator team administration — invoice payments, raising and resolving queries, insurance documents, and food hygiene certificates
Client Administration Support
● Complete supplier registrations
● Monitor the client services and info inboxes, actioning any urgent requests where necessary in the absence of the client administration team
What We're Looking For
● Proven track record in an administrative or office/operations role
● Confident and proactive — comfortable taking care of what’s required without close supervision, flagging issues before they escalate, and putting forward improvements rather than waiting to be asked.
● Highly organised — juggling multiple workstreams, people, and deadlines without things slipping through the cracks is second nature to you.
● Discreet and trustworthy — you understand the weight of handling confidential HR and business information, and can be relied on absolutely to keep it private.
● Fully fluent in English, with excellent written communication.
● Comfortable liaising directly and confidently with facilitators and clients, representing the brand professionally.
● A tech-savvy natural process-improver, always looking for a better, more efficient way of doing things.
Working Here
● This is a remote full-time role working closely with a small, fast-moving UK and Philippines-based team — expect regular real-time collaboration.
● You will be expected to provide your own professional-spec, reliable equipment — a capable laptop, stable broadband connection, and a suitable working environment.

Salary & Benefits
● $1,000–$1,400 per month, depending on experience + 13th month
● 25 days holiday (including Philippines bank holidays) + 8 UK bank holidays
● After 6 months: health insurance, profit bonus and growth shares
