JOB OVERVIEW

HBW Café is seeking a highly organized, proactive **Virtual Executive Assistant** who can support the owner with day-to-day administrative responsibilities while also helping drive sales, outreach, and business growth.

This is not a basic administrative role. We are looking for someone who can manage multiple priorities, communicate professionally with clients and business contacts, follow up consistently, support sales activity, and help move projects forward.

**Strong spoken and written English skills are required.**

### Responsibilities

- Manage the owner’s calendar and appointments
- Schedule, confirm, reschedule, and coordinate client appointments
- Make outbound calls and take incoming calls
- Respond to client text messages, emails, and inquiries
- Follow up with leads, clients, vendors, and business contacts
- Assist with sales follow-up and closing opportunities
- Maintain organized CRM and contact records
- Help manage multiple projects and deadlines
- Track action items and follow up to ensure tasks are completed
- Support business-development initiatives and partnership outreach
- Research potential referral partners, community opportunities, and business prospects
- Assist with marketing outreach and lead-generation efforts
- Draft professional emails, texts, follow-up messages, and outreach communications
- Help coordinate promotions, events, partnerships, and special projects
- Provide executive and personal-assistant support as needed

- Sales-minded and confident communicating value
- Proactive and able to work independently
- Strong grammar, spelling, and written communication skills
- Comfortable using calendars, CRM systems, spreadsheets, email, texting platforms, and common business software

**Sales, closing, marketing, outreach, and business-development experience are strongly preferred.**

The ideal candidate is someone who can help keep the owner organized while also helping HBW Café grow through strong follow-up, communication, sales support, and business development.
