Business Operations & Marketing VA -- Services and Coaching/Retreats Business Support / Part-Time | Remote | 15 hrs/week | Mon-Fri Australian Business Hours

ABOUT US
We are a growing remote team looking for a Business Operations & Marketing VA to join us and provide dedicated remote support to one of our client businesses, a services and coaching/retreats company with a growing customer base and a small internal team. You will work closely with the client's team and our team to deliver high-quality support across their operations.

ABOUT THE ROLE
This role combines day-to-day administrative and marketing execution -- managing email and lead communications, running social media content and ad campaigns, supporting retreat bookings, and delivering regular performance reporting -- with helping the business build out standard operating procedures as it scales. This is not a guesswork role. SOPs, an existing KPI dashboard, and internal systems are provided and training will be given.

The expectation is straightforward -- do the job well, communicate proactively, and ask when unsure rather than assume. A win in your first 30 days looks like: inbound leads and DMs are being responded to consistently and on time, the daily social media posting schedule is running smoothly, the weekly KPI report is delivered accurately and on schedule, and you have a clear working understanding of the Shopify store and retreat booking process.

KEY RESPONSIBILITIES
Communications & Lead Management
- Manage and respond to emails on a weekly volume basis
- Organise and manage inbound leads
- Engage with the audience across social channels, including chat and DM conversations
- Support communication with leads, suppliers, and venues
Social Media & Marketing
- Manage social media content editing and posting daily
- Manage and run ad campaigns for both service-based and retreat offerings
Reporting & Operations
- Pull and deliver a weekly KPI report aligned to an existing KPI dashboard
- Help build out SOPs for both sides of the business
- Support retreat bookings

TOOLS YOU WILL USE
- Ecommerce: Shopify (mandatory)
- Finance: Xero (preferred / working knowledge)
- Bookings: Fresha (preferred / working knowledge)
- Productivity: Google Workspace and Spreadsheets

WHO WE ARE LOOKING FOR
Minimum 5+ years of relevant experience in operations, marketing, or virtual assistance
Prior experience in a similar service-based or coaching/retreat-oriented business preferred
Excellent written English -- professional, polished, and error-free, with the ability to draft client-facing materials independently
Excellent spoken English -- confident and professional on calls, Zoom, and phone
Proven ability to work independently and own tasks and systems end-to-end with minimal direction
Proactive communicator -- over-communicates rather than under-communicates
Knows when to problem-solve independently and when to escalate
Warm, personable communication style with strong relationship-building skills
Quick learner, comfortable picking up new tools, systems, and processes

TECHNICAL REQUIREMENTS (NON-NEGOTIABLE)
High-speed, stable internet connection with backup data in case of power outages or service interruptions
Mobile phones, tablets, and iPads are not accepted as primary work devices
A reliable computer capable of running Shopify, Google Workspace, and social media/ad platforms smoothly

WORKING ARRANGEMENT
Part-time, fully remote
15 hours per week
Schedule to be confirmed upon hire, Australian Business Hours
Daily check-ins via WhatsApp and email
