JOB OVERVIEW

About us

We're a small, family-run group working together: "Invest with Ev" (residential real estate, RE/MAX 1st Choice), Efficient Frontier Group (EFG, a financial planning firm affiliated with Osaic Wealth), The Frontier Office & Event Space (a conference and event venue in Middletown). One person leads sales, marketing, and content across all three, and this role exists to support that work directly.

Role summary
We're hiring a Sales & Marketing Virtual Assistant to run point on lead follow-up, GoHighLevel execution, social content operations, and event and property logistics for a small family of Delaware-based businesses: real estate under "Invest with Ev," financial planning at Efficient Frontier Group (EFG), The Frontier Office & Event Space, and Kingdom Business & Technology Institute (KBTI). This is a sales-and-marketing-first role — you'll be the one texting leads, finishing automations in GoHighLevel, and keeping our content and events running, not just an admin assistant.

Key responsibilities
Social media marketing & tracking
• Send finished videos to our editor and follow up on revisions
• Keep the Notion content tracking system current
• Post approved videos across Instagram, TikTok, and Facebook
• Track performance and report what's working
• Research high-performing videos in our niche, following research parameters we set, and document your findings
• Keep an organized, tagged collection of saved Instagram videos on best content practices
GoHighLevel operations
• Take automations built in Claude and finish the build-out in GoHighLevel
• Pick up workflows where Claude's part ends and complete them in GHL
• Organize opportunities, pipeline stages, and funnels
Events
• Send invitations, track RSVPs, and manage follow-ups and logistics for seminars and events
• Coordinate directly with event vendors
Property management
• Schedule contractors and track quotes and invoices
Direct outreach & sales
• Respond to new leads by text and follow our sales script through to a booked call
Discovery calls
• Book and confirm discovery calls

Tools & systems you'll use
• GoHighLevel (GHL) — CRM, pipelines, funnels, automations, email/SMS
• Notion — content tracking and pipeline management
• Instagram, TikTok, and Facebook — posting and performance tracking
• Instagram Saved/Collections — organizing reference videos for content research
• CapCut / Captions app — coordinating video edits (you won't need to edit yourself, just manage the handoff)
• Calendly — discovery call booking
• Text/SMS — direct lead outreach

Required skills & experience
• Direct, hands-on experience with GoHighLevel — pipelines, opportunities, funnels, and automations
• Comfortable initiating and carrying sales conversations by text, following a script while sounding natural
• Experience scheduling and posting social content (Instagram, TikTok, Facebook)
• Comfortable following a defined research process — finding examples, organizing them, and writing up findings clearly
• Strong written English — this role is text- and script-heavy
• Organized enough to track multiple leads, posts, and to-dos at once without things slipping
• Trustworthy with lead, client, and vendor contact information
• Reliable high-speed internet, a working computer, and a quiet space for calls

Nice to have
• Notion experience
• Some exposure to Meta/social ads and marketing funnels, or genuine interest in learning them
• Experience coordinating event logistics (invitations, RSVPs, vendor follow-up)
• Experience scheduling contractors or tracking quotes/invoices
• Background in real estate, financial services, or event/venue marketing

What success looks like
• New leads get a same-day text response, and the sales script is followed through to a booked call
• Content moves through the Notion pipeline without stalling — edits are requested, followed up, and posted on schedule
• GoHighLevel automations handed off from Claude get finished and live without back-and-forth
• Event invitations, vendor coordination, and follow-ups go out on time, and RSVPs are tracked accurately
• Discovery calls are booked, confirmed, and rarely no-show due to poor follow-up
• The saved-video research library stays current and organized, with findings documented as they're gathered
• Time is tracked accurately, and each 8-hour work block's task list is completed on schedule

Schedule & compensation

This is a part-time role on Philippine time, structured so the shift begins as Evan's day in Delaware is ending — the day's tasks need to be done by the time he wakes up. The first 2 hours of each shift are reserved for questions and clarification before starting the day's work. Each work block has an estimated set of tasks to complete within it. Pay is $300–$500/month USD, depending on experience and fit. This is an ongoing, long-term role for the right candidate, not a short-term project.

How to apply
Submit the following to ---------- to apply:
1. Your resume
2. A screenshot from ---------- showing your current internet speed
3. A short voice recording introducing yourself and explaining why you'd be a good fit for this role

Use the subject line "Sales & Marketing VA – [Your Name]" so it's easy to sort.

Applications that don't include all three items exactly as requested will not be considered. This is part of how we screen for attention to detail.

Shortlisted candidates will be invited to a short interview.
