About the Position
Smile Group is looking for a motivated, confident, and knowledgeable Dental Scheduler to join our team remotely.
This is not a traditional call-center position.
Our schedulers are an important part of each dental office and are often the first point of contact for our patients. You will work directly with our dental teams to answer incoming calls, make outbound calls, schedule patients, answer common dental questions, and help keep our doctors’ and hygienists’ schedules full.
We are specifically looking for candidates who already have dental knowledge and dental scheduling experience or a strong understanding of dental procedures, terminology, and appointment types.
Fluent English and Spanish is required for this position.
Compensation
The compensation structure is designed to reward performance:
Base Pay: $2.50 USD per hour
Performance Bonus: $2.00 USD per qualifying appointment you successfully schedule
This means your earning potential is directly connected to your performance. The more successful appointments you create, the more you can earn.
For performance bonuses, appointments must meet the company’s qualification requirements, including patient attendance/completion when applicable.
We want motivated schedulers who are excited by the opportunity to earn additional compensation by helping keep our offices productive and our schedules full.
Main Responsibilities
Your primary responsibility will be to answer incoming patient calls and make outbound calls to schedule patients.
You will work with multiple scheduling opportunities, including:
New patient calls and inquiries
New patient scheduling
Patient reactivation
Patients who missed previous appointments
Patients who canceled and need to reschedule
Patients due for hygiene/cleaning appointments
Patients who completed SRP and are due for periodontal maintenance
Patients with treatment plans who have not scheduled
Patients who have already paid for treatment but do not have an appointment
Following up with patients to help fill openings in the schedule
Confirming and maintaining productive schedules
Helping the offices work toward zero missed calls
Dental Knowledge Is Required
This position requires more than excellent phone skills.
You must be able to speak confidently with patients about common dental procedures and appointments.
For example, you should understand or be able to confidently explain:
The difference between a regular prophylaxis/prophy and Scaling and Root Planing (SRP)
Why a patient may need SRP instead of a regular cleaning
What a patient can expect during common dental appointments
How many appointments may be required for a crown
Basic steps involved in crown treatment
Basic implant treatment processes
Pre-operative and post-operative appointments related to implants
Hygiene and periodontal maintenance appointments
Common dental terminology
How to schedule different dental procedures appropriately
We do not expect the scheduler to diagnose patients or answer questions that require a dentist or clinical provider. However, you should be able to confidently handle common patient questions without unnecessarily transferring every call.
Our goal is minimum unnecessary escalations and minimum unnecessary transfers to office managers.
Language Requirements
English is required.
Because you will be speaking with patients throughout the day, you must be able to communicate clearly, professionally, and confidently in English, both verbally and in writing.
You should be comfortable:
Answering patient calls in English
Explaining dental appointments and procedures clearly
Handling patient questions confidently
Communicating professionally through phone calls, text messages, and other patient communication channels
Understanding patients with different speaking styles and accents
Providing a high level of customer service in English
Spanish is a plus. Bilingual English/Spanish candidates are encouraged to apply, but Spanish is not required for consideration.
You Are Part of the Dental Office
We do not want our patients to feel like they are speaking with an outside call center.
You should never approach a patient conversation with:
“This is the call center. Let me transfer you to the office.”
You are part of the office team.
We want our patients to feel that they are speaking directly with a knowledgeable member of their dental office who understands their needs and can help them.
The scheduler is one of the most important roles in our organization because you:
Create the appointments that fill the doctors’ schedules
Help patients receive the treatment they need
Create the patient's first impression of our practice
Help prevent missed opportunities
Support the doctors, hygienists, managers, and clinical teams
Help maintain healthy and productive schedules
What We Are Looking For
The ideal candidate will have:
Fluent spoken and written English — required
Spanish — a plus
Previous dental scheduling, dental receptionist, dental call center, or dental patient coordinator experience
Good knowledge of dental terminology
Understanding of common dental procedures
Experience scheduling dental appointments
Strong customer service skills
Confidence speaking with patients
Excellent telephone etiquette
Ability to explain information clearly and professionally
Strong follow-up skills
Ability to handle objections and encourage patients to schedule
High motivation and a performance-driven mindset
