About Baie Botanique
Baie Botanique is a UK-based, award-winning vegan skincare and mineral suncare brand selling through Shopify, Amazon and international distribution partners. We operate across the UK, US, Canada and European marketplaces.
We are looking for an experienced, highly organised E-commerce Operations Specialist to take ownership of our day-to-day Amazon, Shopify, inventory, fulfilment and customer-service operations.
This is an operational role—not a web-development position. We have separate support for technical Shopify development, design and marketing.
The person we need
We are looking for someone astute, commercially aware and naturally curious—someone who notices when information does not look right, investigates carefully and considers the wider operational impact before taking action.
You should learn new systems and processes quickly, retain and apply training, ask intelligent questions and proactively suggest solutions. You must be able to take ownership of a task through to verified completion rather than considering it finished once a message has been sent or a change has been submitted.
You will need to work carefully and independently while also recognising when approval or clarification is required.
Key responsibilities
- Amazon Seller Central
- Create and maintain Amazon product listings across the UK, US, Canada and European marketplaces.
- Create and manage parent–child variations, bundles and multipacks.
- Work accurately with approved SKUs, ASINs, barcodes, product data and category requirements.
- Upload titles, bullet points, descriptions, ingredients, images and other listing information.
- Use inventory files or flat files where required.
- Troubleshoot suppressed, disconnected or inaccurate listings.
- Open and manage Seller Support cases, following them through until the issue has been resolved and verified on the live listing.
- Monitor listing accuracy, pricing, availability, stranded inventory, reimbursements and account issues.
- Create and manage FBA shipments and replenishment.
- Maintain clear records of cases, changes, listings, variations and outcomes.
Hands-on experience managing Amazon Seller Central on behalf of a brand, retailer or e-commerce agency is essential. Experience working within Amazon Seller Support is useful, but it is not sufficient by itself.
Inventory, stock and fulfilment
- Monitor stock across Shopify, Amazon, our head office and third-party fulfilment locations.
- Update inventory, case-stock and shipment spreadsheets accurately.
- Analyse sales and stock data and recommend what should be sent to each marketplace or fulfilment centre.
- Help prevent stockouts and identify slow-moving or short-dated inventory.
- Coordinate shipments and stock transfers across the UK, EU and US.
- Maintain accurate records for returns, damaged stock and returned inventory.
- Follow up with fulfilment partners and confirm that requested actions have been completed correctly.
- Check SKUs, case quantities, expiry dates and destination requirements before creating shipments.
Shopify operations
- Create and update products, variants and bundles.
- Upload approved product descriptions, images, ingredients and other information.
- Apply approved SKUs, prices and inventory settings correctly.
- Manage collections and product availability.
- Check that products display correctly and can be purchased successfully.
- Identify technical website issues and provide a clear brief to our Shopify developer.
Advanced theme development, PageFly development, CSS or JavaScript experience is not required.
Customer service and order operations
- Monitor customer-service inboxes and respond accurately and professionally.
- Investigate order, delivery, return and refund issues across Shopify, Amazon and fulfilment partners.
- Coordinate replacement orders, returns and shipping documentation when required.
- Recognise urgent or commercially sensitive issues and escalate them promptly.
- Maintain ownership until the customer or operational issue has been fully resolved.
SOPs and operational documentation
- Create and maintain clear, shared standard operating procedures.
- Update SOPs as new information, exceptions and troubleshooting steps are learned.
- Document systems, source files, decision points, approval requirements and final checks.
- Ensure that another team member could follow the process without relying on personal notes or verbal instructions.
- Keep trackers and task records current and accurate.
Essential experience and qualities
- Proven brand-side or agency-side Amazon Seller Central experience.
- Recent hands-on experience creating Amazon listings and variations.
- Operational Shopify experience, including products, variants, bundles and inventory.
- Experience with inventory, fulfilment, spreadsheets and multi-channel e-commerce.
- Strong attention to detail, particularly with SKUs, pricing, quantities and product data.
- Excellent written English and confident spoken English.
- Strong problem-solving ability and commercial judgement.
- Ability to learn quickly and apply previous guidance to new situations.
- Proactive communication when a task is blocked, delayed or unclear.
- Reliable availability throughout the agreed working hours, including substantial daily overlap with UK business hours.
- Excellent task ownership and follow-through.
- Comfortable tracking working time using Hubstaff.
- Able to create clear and usable SOPs.
Time tracking:
Working hours are recorded through Hubstaff, including its standard activity and screenshot features. The tracker should be running while you are actively working and paused during breaks or personal time. You will be expected to complete and accurately record the agreed full-time hours. If illness, connectivity problems or another unexpected issue affects your working day, you must notify the team promptly rather than reporting it afterwards.
Working expectations
This is a full-time position, normally worked approximately 2:00 p.m.–10:00 p.m. Philippine time, Monday–Friday. This provides substantial daily overlap with UK business hours without requiring a full UK-time shift. On occasional pre-agreed days, you may be asked to adjust your hours to support an urgent shipment or operational deadline. Any such adjustment would be agreed in advance and would not increase the contracted weekly hours. If illness, an internet issue or another unexpected event affects your working day, you must notify the appropriate team members as soon as possible.
We value careful work, but we also need someone who can work efficiently, make sensible connections between information and move tasks forward without requiring every individual step to be assigned.
Application instructions
Please begin your application with the word BOTANICAL and answer all of the following questions:
