JOB OVERVIEW

Henriquez Accounting & Tax Services LLC is seeking an experienced Zoho specialist to audit our existing client intake and tax-preparation workflow.

We already have a substantial portion of the system configured. This position is not for building everything from the beginning. The primary goal is to carefully review the current setup, identify errors or missing connections, recommend improvements, and help us test the complete workflow.

CURRENT WORKFLOW

Our system includes:

• Calendly
• Zoho Flow
• Zoho CRM
• Zoho Forms
• Email notifications and workflow rules
• Internal tasks and client follow-ups
• Verifyle document-sharing steps

The intended workflow is:

Calendly appointment → Zoho Flow → CRM Contact → CRM Deal → Zoho Forms → CRM updates → automated emails → internal tasks → completion of the tax-return workflow.

RESPONSIBILITIES

• Audit the current Zoho CRM configuration
• Review Contacts, Deals, pipelines, stages, layouts, fields, and field mappings
• Review the Calendly-to-Zoho Flow integration
• Confirm that Contacts and Deals are created or updated correctly
• Audit Zoho Forms and their connections with Zoho CRM
• Review conditional rules and required fields in the forms
• Test email notifications and CRM workflow emails
• Verify that internal tasks and follow-up actions trigger correctly
• Identify duplicate, missing, or incorrectly mapped information
• Test the complete workflow using test records
• Document all errors, recommended corrections, and completed changes
• Explain the findings in clear, nontechnical language
• Assist with corrections only after receiving approval

REQUIRED EXPERIENCE

• Strong hands-on experience with Zoho CRM
• Experience with Zoho Flow and Zoho Forms
• Experience auditing and troubleshooting CRM automations
• Experience with field mapping, workflow rules, pipelines, and conditional logic
• Ability to diagnose problems across several connected applications
• Strong attention to detail
• Clear written and verbal English communication
• Ability to document findings and provide progress updates
• Respect for confidentiality and sensitive client information

PREFERRED EXPERIENCE

• Experience with Calendly integrations
• Experience with accounting or tax-service workflows
• Experience with secure document-management processes
• Familiarity with Verifyle or similar secure client portals

DELIVERABLES

The selected specialist will be expected to provide:

A written audit of the existing system
A list of errors, missing connections, and security concerns
A prioritized correction plan
Documentation of any approved changes completed
Results from a complete end-to-end workflow test
A final summary explaining how the system works and any remaining recommendations
