I'm looking for an unusually capable operator to work alongside our leadership team to ensure initiatives are prioritized, implemented, optimized and executed fully.
This is not just another virtual assistant role, and it is not a position for someone who needs to be given a task list every morning.
The objective is simple:
**Nothing important gets forgotten, nothing stalls unnecessarily, and I always know what requires my attention next.**
What you'll own
You will help run the operational layer around our real estate team and investment company.
That includes maintaining a master view of active initiatives, making sure projects have owners and deadlines, coordinating assistants and other team members, following up relentlessly, preparing me for important meetings and decisions, identifying bottlenecks before I see them, documenting processes, building dashboards, improving systems, and ensuring commitments actually turn into completed work.
You will also help maintain important relationships by tracking relevant context, commitments and follow-ups so that relationships are intentionally nurtured rather than left to memory.
Over time, I want to be able to tell you an outcome I want and trust you to figure out how to get us there.
You are probably a fit if...
You are extremely organized but not bureaucratic.
You have EXCELLENT written and spoken English.
You are comfortable telling a founder, “You don't need to be involved in this—I handled it.”
You naturally turn ambiguity into structure.
You don't wait until someone asks you for an update.
You can manage multiple people without becoming the bottleneck yourself.
You can distinguish something genuinely important from something merely urgent.
You communicate concisely.
You are comfortable with technology, automation and AI tools.
You have excellent judgment and can be trusted with confidential business and personal information.
Most importantly, you have a very high sense of ownership.
Experience
The ideal candidate has 5+ of experience in real estate operations, Chief of Staff work, project/program management, executive operations or a comparable role.
Experience working directly with a US founder, CEO or entrepreneur is highly desirable.
Experience managing other assistants or operational team members is also highly desirable.
I care considerably more about what you have actually accomplished than your formal credentials.
What success looks like
Within the first few months, you understand virtually everything important that is happening
Projects have clear owners and next actions.
Follow-ups happen without me remembering them.
Our team know's exactly what they are responsible for.
Upcoming decisions are surfaced before they become emergencies.
Important relationships are systematically maintained.
Meetings produce actions rather than disappearing into notes.
And I increasingly operate in the areas where my time is uniquely valuable while you and the team handle the rest.
Do not send a generic cover letter.

3. One example of a system, dashboard, SOP, project-management structure or workflow you personally built.
4. A short answer to this question:
**“A founder has 20 active initiatives, 50 important relationships, several assistants and hundreds of ideas. He regularly becomes the bottleneck. How would you design a system so the organization continues moving without requiring him to remember everything?”**
