# Trucking Operations & Driver Compliance Coordinator
**Location:** Remote
**Schedule:** Full-time, with availability during [U.S. time zone and hours]
**Compensation:** Based on experience
We are looking for an organized, dependable coordinator to support our trucking operations. You will help recruit drivers, maintain driver and truck paperwork, coordinate drug testing, and prepare drivers for training and road assignments.
This role requires strong follow-through, accurate recordkeeping, and clear communication with drivers, management, testing facilities, and other service providers.
## Responsibilities
**Driver recruitment and hiring**
- Post job openings, review applications, and communicate with candidates.
- Conduct initial screening and schedule interviews with management.
- Collect applications, employment history, licenses, and required hiring documents.
- Coordinate authorized background checks, driving-record reviews, and employment verification.
- Track each candidate from application through onboarding and keep management informed.
**Driver compliance and records**
- Maintain organized, up-to-date Driver Qualification Files (DQFs) and onboarding records.
- Track license, medical certificate, and other document expiration dates.
- Coordinate required record checks and follow-up reviews under company procedures.
- Identify missing, expired, or incomplete documents and follow up until resolved.
- Prepare files for management review and support audit preparation.
- Handle sensitive driver information confidentially.
**Drug and alcohol testing coordination**
- Schedule required pre-employment and other company-directed drug and alcohol tests.
- Send drivers testing locations, appointment details, and instructions.
- Follow up with drivers and authorized testing providers to confirm completion.
- Track testing status and route results or issues to authorized management.
- Assist with Clearinghouse-related administrative tasks where authorized.
- Escalate outstanding requirements before a driver is approved for duty.
**Driver onboarding, training, and road preparation**
- Coordinate orientation, required training, and road-test appointments with qualified personnel.
- Collect signed policies, acknowledgments, and training records.
- Help drivers set up required apps, ELD access, and communication tools.
- Review company procedures with drivers, including inspections, paperwork submission, and reporting breakdowns or incidents.
- Confirm that onboarding documents, training records, and truck assignment details are complete.
- Maintain a ready-for-road checklist and submit it to management for final approval.
**Truck and trailer paperwork**
- Maintain records for registrations, insurance, inspections, permits, and other applicable vehicle documents.
- Track renewal deadlines and coordinate updates with management and service providers.
- Confirm that drivers have current copies of required truck and trailer paperwork.
- Collect inspection reports and coordinate follow-up on missing records or reported issues.
- Keep vehicle files organized and accessible.
**Daily coordination and reporting**
- Communicate with drivers, dispatch, management, clinics, and training providers.
- Maintain trackers for recruiting, onboarding, testing, document renewals, and training.
- Provide daily updates on completed tasks, outstanding items, and urgent issues.
- Follow through on open tasks and escalate anything that could delay a driver’s start or truck availability.
## Qualifications
- Experience supporting a U.S. trucking company in recruiting, safety, compliance, or operations.
- Working familiarity with DOT/FMCSA terminology, driver qualification files, CDL documentation, and drug-testing coordination.
- Strong spoken and written English.
- Excellent attention to detail and ability to manage multiple drivers and deadlines.
- Comfortable using spreadsheets,
- Reliable internet, a computer, and a quiet workspace.
- Available during the agreed U.S. business hours.
**Preferred:** Experience with the FMCSA Clearinghouse, ELD platforms, applicant tracking systems, and compliance-management software.

- Driver and vehicle files are complete, organized, and current.
- Candidates receive timely communication throughout hiring.
- Testing, orientation, and training are coordinated without avoidable delays.
- Missing requirements are flagged before road assignments.
- Management has a clear view of who is ready, what is pending, and what needs attention.
This is an administrative and coordination role. Final hiring, safety, and driver-release decisions remain with authorized management.
