Key Responsibilities
Executive & Administrative Support
- Manage executive calendars, meetings, appointments, and scheduling priorities.
- Manage
- Prepare meeting materials, reports, presentations, and HR documentation.
- Coordinate phone calls, stakeholder communications, and administrative activities.
Recruitment & HR Support
- Coordinate job postings, candidate screening, interview scheduling, and onboarding activities.
- Maintain employee records, HR documentation, and recruitment files.
- Support employee relations, performance review processes, and HR initiatives.
- Assist with policy administration and employee lifecycle activities.
Training & Development
- Coordinate staff training, orientation, and professional development activities.
- Create and maintain training materials, courses, and learning resources (Coassemble)
- Track training completion and compliance requirements.
- Support organizational learning and staff development initiatives.
UKG Administration & Reporting
- Support the administration of UKG and related HR systems.
- Maintain employee information and workforce records.
- Generate reports and assist with HR data analysis.
- Provide support to staff and managers regarding UKG processes.
Events & Employee Engagement
- Plan and coordinate staff events, recognition programs, training sessions, and organizational meetings.
- Organize event logistics including venue coordination, catering, invitations, registrations
- Support employee engagement and culture-building initiatives.
- Coordinate internal events, workshops, and organizational celebrations from planning through execution.
Qualifications: Required Experience
- Experience in Human Resources, Executive Assistance, Administration, Recruitment, Event Coordination, or a related field.
- Experience managing calendars,
- Strong recruitment, onboarding, and employee support experience.
- Experience planning and coordinating events, meetings, or training programs.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Ability to handle confidential information with discretion.
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, SharePoint, and PowerPoint).
Preferred Experience
- Experience with UKG or a Human Resources Information System (HRIS).
- Experience creating training materials, courses, or learning programs.
- Experience in healthcare, nonprofit, community services, or a multi-site organization.
- Experience supporting employee engagement, culture, and recognition programs.
