Procurement Specialist (Full-Time, Remote)
Hours: Full-Time | 9:00 AM – 6:00 PM EST
About the Role
We are a dynamic and fast-growing company looking for a Procurement Specialist to support day-to-day procurement operations and work directly with our Operations Lead.
This is an execution-focused, detail-oriented role. You will be responsible for keeping purchasing moving, vendors accountable, and tracking logs accurate — all while working directly with our Operations Lead.
The right person for this role owns their work end to end. You don't wait to be told when something is off — you catch it early, communicate it clearly, and follow through until it's resolved.
No FF&E background is required. What matters most is that you have hands-on, end-to-end purchasing experience — and that you were the one doing the work, not just overseeing it.
Strong performance in this role leads to increased responsibility and long-term career growth.
What You'll Do
Procurement & Purchasing
Prepare and issue purchase orders for FF&E and OS&E items once selections and budgets are approved
Coordinate pricing, lead times, quantities, and specifications with vendors and manufacturers
Support bid comparisons, quote leveling, and value-engineering efforts
Ensure all purchasing aligns with approved budgets and project requirements
Vendor & Logistics Coordination
Communicate with vendors to confirm production schedules, ship dates, and delivery details
Coordinate shipments to designated warehouses and confirm receipt
Track order status and proactively flag delays or issues
Collect and organize invoices, confirmations, warranties, and related documentation
Budgeting, Tracking & Reporting
Maintain detailed tracking logs for purchase orders, deliveries, and payments
Support budget-to-actual reporting throughout the project lifecycle
Keep all records accurate and up to date in internal tracking systems
Assist with project close-out documentation and final reconciliations
Internal Support & Operations
Work closely with the Operations Lead on daily procurement tasks
Support standardized operating procedures for purchasing, tracking, and reporting
Assist with ad hoc operational tasks as project needs evolve
Tools You'll Use
Fohlio — FF&E specifications, selections, and project documentation
Google Workspace — Sheets, Docs, Drive, Gmail
Notion — internal tracking, documentation, and workflows
What We're Looking For
2–5+ years of experience in procurement, purchasing, or supply chain roles
Experience with FF&E, furniture, hospitality, real estate, or construction-adjacent industries is strongly preferred
Advanced proficiency in Google Sheets or Excel
Experience coordinating with U.S.-based vendors and teams
Highly organized with strong attention to detail and accuracy
Able to manage multiple projects and deadlines simultaneously
Strong written and verbal English communication skills
Dependable and execution-focused with a strong sense of ownership
Proactive and comfortable working independently with minimal oversight
Team-oriented with a commitment to clear communication and follow-through
What We Offer
Full-time, long-term role
Paid Time Off (PTO)
Paid U.S. holiday leaves
Medical stipend after 3 months
Opportunity to grow into expanded responsibility over time
Clear opportunities for growth and professional development
Collaborative, supportive, and people-first work environment
