Temporary Full Time Position With Opportunity to Become Permanent
Monday through Friday | 9:00 AM to 6:00 PM Pacific Time | 1 Hour Lunch
We are an established Arizona real estate brokerage with a busy traditional sales and REO division, and we are looking for an experienced Real Estate Virtual Assistant with strong Database Management and ISA skills to join our team.
This position is initially temporary while one of our valued team members is on maternity leave. However, there is a real opportunity for this to become a permanent full time position for the right person based on performance, skill set, communication ability, and overall fit with our team.
THIS IS NOT AN ENTRY LEVEL VA POSITION
We are happy to teach the right person our REO processes, property research methods, contractor coordination, and internal systems.
What we do not want to teach is how to communicate with people, build rapport, manage a real estate database, or confidently handle a phone conversation.
You should already be very good at those things.
What You Will Be Doing
You will work directly with our real estate team and assist with:
• Managing and maintaining our real estate database
• Following up with leads and past clients
• Answering incoming calls professionally and confidently
• Building rapport with buyers, sellers, vendors, and contractors
• Scheduling buyer and listing appointments for our agents
• Completing property and market research
• Researching property information for REO assignments
• Contacting contractors and vendors to obtain repair quotes and bids
• Following up with contractors until requested information is received
• Keeping detailed notes and tasks updated in our CRM
• Helping maintain accurate lead stages and follow up plans
• Assisting with REO related administrative tasks
• Supporting special lead generation campaigns when needed
This is not primarily a cold calling position. However, you must be comfortable making outbound calls when we have a specific campaign or business need.
NON NEGOTIABLE: Exceptional Spoken English
Because you will be answering our phones and communicating directly with our clients, leads, agents, vendors, and contractors, exceptional spoken English is required.
We are looking for someone whose spoken English is highly fluent, clear, natural, and easily understood by U.S. clients, with strong command of conversational American English.
You must be comfortable carrying a natural conversation, thinking on your feet, asking good questions, and developing trust and rapport without sounding scripted.
A voice recording will be required as part of the application process.
Required Experience
ISA and real estate database management experience is a MUST.
The ideal candidate already understands:
• Real estate lead management
• CRM/database organization
• Lead follow up
• Appointment setting
• Lead nurturing
• Database cleanup and maintenance
• Creating and managing follow up tasks
• Communicating with buyers and sellers
• Knowing when a lead needs immediate agent attention
• How to have an actual conversation instead of simply reading a script
REO experience is a major plus, but it is not required. We can teach REO to someone who already has the communication, organizational, research, and follow up skills we need.

If a buyer calls with questions, you know how to have a conversation, gather information, build trust and determine the appropriate next step.
If a database has incomplete records, missing follow ups or leads sitting untouched, that bothers you and you fix it.
We need someone who takes ownership of their work rather than waiting to be told every next step.

You must be able to consistently work these hours.
Temporary Position With Long Term Potential
This position is being filled to cover maternity leave for one of our current team members, so applicants should understand that the initial position is temporary.
However, our business continues to grow and an exceptional person may be offered a permanent full time position.
We are much more interested in finding the right person than simply filling a seat.
