Job Summary:
We are hiring a Customer Service and Appointment Setting Specialist to be the first point of contact for our members. You will answer questions, book and manage training appointments, and keep our member and lead records accurate inside our CRM. We are looking for someone warm, organized, and dependable who enjoys helping people.
Key Responsibilities:
- Answer member questions and requests in a timely, professional manner
- Schedule, confirm, and reschedule training appointments
- Keep lead and member information updated and organized in the CRM
- Follow up with leads and existing members to reduce no-shows and keep communication active
- Help new members get onboarded and set up correctly in our systems
- Pass along any request that needs coaching or management attention to the right team member
- Keep scheduling and CRM data clean and accurate
- Support the team with day-to-day administrative tasks
Mandatory Skills:
- Experience in customer service, client support, or appointment setting
- Practical experience using a CRM system, with GoHighLevel a strong plus
- Excellent English communication, both written and spoken
- Strong organization and attention to detail when handling records
- Ability to manage a high volume of messages without sacrificing accuracy
- Quick to learn new software and tools
- Reliable, detail-oriented, and able to work independently
- Clear communicator who knows when to escalate an issue
Preferred Skills:
- Familiarity with Mindbody or a similar booking and membership platform
- Experience in fitness, sports, wellness, or a membership-based business
- Comfortable handling phone calls with clients
- Background supporting a business built around recurring appointments
- Able to juggle multiple requests and priorities at once
- Understanding of lead follow-up and basic pipeline management
