JOB OVERVIEW

About the role
We are hiring a remote legal assistant to support a US estate planning and probate law firm. You will run matters from intake through signing: preparing documents from the attorney's notes, keeping clients informed, and moving each file through the pipeline in Clio. This is a long-running seat with a firm that treats its people well, and there is real room to grow into more probate work over time.

What you will do
- Prepare estate planning documents from the attorney's notes and templates: trusts, wills, financial and healthcare powers of attorney, living wills, and funerary directives
- Prepare probate documents: opening forms, inventories, accountings, and creditor and beneficiary notices
- Prepare trust administration documents: trust certificates, beneficiary notices, and accounting packets
- Review the client vault for completeness and flag anything missing or conflicting
- Handle routine client communication: follow-ups, review calls, and sending drafts through the Clio portal
- Move each matter through the pipeline in Clio and keep every checklist current
- Assemble final signing packages and confirm witness and notary logistics

What we are looking for
- Experience as a legal assistant or paralegal, ideally with US estate planning or probate firms
- Excellent written and spoken English, since you will speak with clients
- Very strong attention to detail. This firm cares deeply about accuracy
- Able to work independently and own your matters without close supervision
- Reliable and available during US Eastern business hours
- Comfortable learning new systems quickly

Nice to have
- Hands-on experience with Clio Grow and Clio Manage
- Experience drafting Ohio probate documents
