## About the Role
We’re looking for an experienced Property Accountant with strong, hands-on AppFolio skills to manage daily accounting, maintain accurate financial records, and prepare monthly closes under our CFO’s supervision.
You will work closely with our onsite Tenant Coordinators, who handle client administration, invoice intake, and move-in/move-out coordination. Your responsibility is to keep the accounting accurate, resolve discrepancies, and make sure financial tasks reach completion.
You should be comfortable investigating an unfamiliar balance, questioning an unsupported transaction, and following up for missing information. We want someone who helps catch and prevent problems.
Our current workload includes fewer than 1,000 transactions and up to 250 vendor bills per month, with up to 10 bank and credit card accounts.
## What You’ll Do
**Accounts payable and payments**
* Review and process bills in AppFolio, confirming the correct entity, property, account, accounting period, supporting documents, and approvals.
* Handle shared expenses and allocations across entities and properties.
* Identify duplicate invoices, reconcile vendor statements and credits, and resolve discrepancies.
* Prepare scheduled payment runs for approval and process authorized payments.
* Track overdue or blocked invoices and give the team reliable information about payment status.
**Client billing and accounts receivable**
* Review recurring charges for completeness and accuracy, including rent, utilities, Facility Cost, storage, parking, escalations, and approved concessions.
* Work with Tenant Coordinators to resolve billing errors and discrepancies between AppFolio records and approved lease terms.
* Review payment applications and resolve unapplied, returned, or incorrectly posted receipts.
* Maintain accurate AR aging, reconcile receivables to the general ledger, and coordinate collection follow-up with Tenant Coordinators.
* Maintain accurate security-deposit accounting and process authorized refunds using the Tenant Coordinator’s completed disposition.
**Monthly close and financial reporting**
* Maintain accrual-basis accounting records in AppFolio.
* Reconcile bank, credit card, balance sheet, and intercompany accounts.
* Prepare accruals, adjusting entries, and supporting schedules for prepaid expenses, loans, fixed assets, capital improvements, and other assigned accounts.
* Prepare monthly financial statements and explain significant changes or budget variances.
* Prepare the monthly close package for CFO review by the 10th calendar day, following an agreed close calendar.
* Request missing information promptly and flag issues that could affect reporting accuracy or deadlines.
* Prepare supporting information for the outside CPA, year-end reporting, and lender requests.
**Payroll accounting and cash monitoring**
* Record and reconcile payroll processed through ADP, including allocations across entities and properties.
* Monitor cash balances and upcoming payment obligations.
* Flag funding needs early and prepare proposed intercompany transfers for approval.
**Communication and process improvement**
* Resolve accounting questions from Tenant Coordinators, clients, and vendors, keeping the appropriate team members informed.
* Maintain clear supporting records and notes in AppFolio.
* Document recurring accounting procedures and help improve inefficient or unclear workflows.
* Identify recurring errors and help the team prevent them.
## What We’re Looking For
* At least three years of relevant accounting experience, including responsibility for monthly closes.
* **Direct AppFolio accounting experience is required**, including reconciliations, tenant ledgers, AP/AR, and journal entries.
* Experience supporting U.S. property accounting; commercial real estate experience is strongly preferred.
* Strong understanding of accrual accounting and multi-entity/intercompany transactions.
* Strong Excel skills for reconciliations, allocations, and analysis.
* Clear written and spoken English, including the ability to explain an accounting issue to someone outside Accounting.
* Reliable follow-through, sound judgment, and willingness to ask questions when something does not look right.
* Reliable internet, a suitable workspace, and a practical backup plan for connectivity or power interruptions.
An accounting degree or equivalent professional experience is preferred. CPA credentials and ADP experience are helpful but not required.
## Working Schedule
You will work 40 hours per week, with four consistent hours each business day overlapping with **9 a.m.–5 p.m. U.S. Pacific Time, Monday–Friday**. We will agree on the exact overlap and remaining working hours before you start.
For example, a 1–5 p.m. Pacific overlap corresponds to:
* **4–8 a.m. Philippine time, Tuesday–Saturday**, during U.S. daylight saving time.
* **5–9 a.m. Philippine time, Tuesday–Saturday**, during U.S. standard time.
