JOB OVERVIEW

We are looking for a reliable, detail-oriented virtual assistant with strong QuickBooks Online experience to manage the bookkeeping and financial records for our cabin construction company.

This is not only a data-entry position. We need someone who understands construction bookkeeping, job costing, inventory, reimbursements, and tracking the profitability of individual cabin builds.

Responsibilities:

Maintain and update QuickBooks Online
Create a separate project for every cabin build
Record materials, labor, subcontractors, deposits, sales, and other expenses
Track the estimated cost versus actual cost of each cabin
Track payments made from company accounts
Track money paid personally by owners that must be reimbursed
Track unpaid bills and remaining construction costs
Maintain detailed inventory records for materials and supplies
Separate current-build expenses from materials purchased for future builds
Upload and organize receipts, invoices, contracts, and payment records
Reconcile bank accounts and credit cards monthly
Track customer deposits, balances due, sales tax, and completed sales
Produce easy-to-understand weekly reports showing:
Cost of each cabin
Amount paid
Amount still owed
Reimbursements due
Inventory on hand
Expected profit
Final profit after the cabin is sold
Maintain a clear Google Sheets tracking system that matches QuickBooks
Identify duplicate, missing, or incorrectly classified transactions
Keep all financial information current, accurate, and organized

Required qualifications:

Strong experience with QuickBooks Online
Experience with construction bookkeeping or job-cost accounting
Excellent knowledge of Google Sheets and Microsoft Excel
Experience tracking inventory, materials, and subcontractor expenses
Strong attention to detail
Good written English and communication skills
Ability to work independently and ask questions when information is unclear
Ability to handle confidential financial information
Availability for some working-hour overlap with Pennsylvania, USA

This will begin as a part-time position and may grow as the company expands. We are looking for someone dependable who wants a long-term working relationship.
