We are looking for a reliable, detail-oriented, and proactive Virtual Assistant who excels at managing administrative workflows, organizing operations, and supporting day-to-day tasks behind the scenes. If you love checklists, problem-solving, and ensuring nothing falls through the cracks, we want to hear from you.

Key Responsibilities

Provide daily administrative and operational support.

Prepare invoices, quotations, estimates, and official documents.

Organize and maintain digital files, databases, and records.

Coordinate internal team workflows and daily operations.

Process permits and handle rebate-related paperwork.

Draft and schedule simple social media posts as needed.

Requirements

Must Have: Direct experience supporting HVAC, plumbing, roofing, construction, facilities, or related service-based trade industries.

Proven track record as a Virtual Assistant or Administrative Assistant.

Excellent written and spoken English communication skills.

Exceptional organizational skills with a strong proactive mindset.

Proven ability to work independently, prioritize tasks, and manage multiple projects.

Pluses: Experience handling permits/rebates, familiarity with CRM platforms, and comfort using AI tools.

Work Schedule & Setup

Type: Full-time, 100% Remote

Hours: 8 hours/day, 5 days/week
