JOB OVERVIEW

We’re looking for a highly organized and proactive E-commerce Operations & Sourcing Coordinator to support our growing e-commerce businesses.

This is not a basic virtual assistant role. We need someone who is strong in planning, administration, follow-ups, and keeping multiple projects moving at the same time.

What You’ll Be Doing
Manage and maintain order, production, sourcing, and shipment trackers
Track supplier ETAs, production deadlines, invoices, payments, samples, and shipments
Follow up proactively with suppliers and team members for missing information or overdue updates
Maintain a clear overview of what is pending, urgent, due today, due tomorrow, and overdue
Coordinate new product sourcing and supplier communication
Request and compare quotes, MOQs, lead times, packaging options, and production details
Assist with product samples, packaging, labeling, and other sourcing requirements
Keep documentation and administrative records organized and up to date
Coordinate between suppliers, operations, and the e-commerce team
Flag delays, missing information, or potential problems before they become urgent
Prepare clear daily/weekly updates so the team always knows where things stand
MUST-HAVE Experience

You must have previous experience with:

E-commerce / DTC brands
Product sourcing and supplier coordination
Planning and administration
Managing multiple orders, deadlines, and follow-ups simultaneously
Working with spreadsheets and operational trackers
Communicating professionally with suppliers
Following up independently without needing constant reminders

Experience working with Alibaba, Chinese suppliers/manufacturers, Shopify brands, private-label products, packaging, freight, or fulfillment is a strong advantage.
