E-Commerce Bookkeeper
Position Overview

We are looking for an experienced, detail-oriented E-Commerce Bookkeeper to take ownership of the company’s day-to-day accounting and monthly financial close.

This person will be responsible for ensuring our books are accurate, complete, and up to date across all of our sales channels, including Amazon, Shopify, our online storefront, and wholesale/retail customers.

The ideal candidate has hands-on experience with e-commerce accounting and understands the complexities of reconciling sales, fees, refunds, chargebacks, inventory, shipping, and payouts across multiple platforms.

This is a detail-oriented position requiring someone who can maintain accurate books, identify discrepancies, ask questions, and help management understand the financial performance of the business.

Core Responsibilities
Financial Ownership
Own the company’s three financial statements: Profit & Loss, Balance Sheet, and Cash Flow Statement.
Own the monthly close process and ensure the books are fully closed, reconciled, and accurate each month.
Accurately enter, categorize, and label all financial transactions.
Ensure all company revenue and costs are properly captured in the accounting system.
Review financial statements and transactions to ensure the numbers make sense and nothing is missing.
Identify missing revenue, expenses, fees, or other transactions and bring them to management’s attention.
Ask questions when something doesn't make sense rather than making assumptions.
Investigate discrepancies and work with the appropriate team members to resolve them.
Continuously improve the accuracy and efficiency of the accounting process.
Daily / Weekly Accounting
Maintain accurate and up-to-date books and accounting records.
Reconcile bank accounts and credit cards.
Reconcile payment processors and sales channels.
Categorize expenses and maintain the chart of accounts.
Maintain accurate accounts payable and accounts receivable.
Monitor outstanding invoices and customer balances.
Maintain clean and organized supporting documentation.
E-Commerce Accounting
Amazon

Reconcile Amazon settlements and transactions, including:

Product sales
Amazon fees
FBA fees
Refunds and returns
Advertising charges
Chargebacks and adjustments
Shipping-related charges
Other Amazon deductions

Ensure Amazon sales and related costs are accurately reflected in the accounting system and reconciled to actual deposits.

Shopify / DTC
Reconcile Shopify sales, refunds, fees, and payment processor deposits.
Reconcile sales from the company’s direct online storefront.
Reconcile payment processors such as Stripe, PayPal, Shopify Payments, and other applicable processors.
Ensure platform sales and actual cash deposits are properly matched to the accounting system.
Wholesale / Retail Accounting
Record and reconcile wholesale sales to retail customers and distributors.
Manage accounts receivable and track outstanding wholesale invoices.
Record customer payments and deductions.
Reconcile retailer chargebacks, shortages, returns, allowances, and other deductions.
Maintain accurate customer account balances.
Assist with customer statements and collections when necessary.
Inventory & Cost Accounting
Maintain accurate inventory accounting and inventory reconciliations.
Reconcile inventory purchased from manufacturers and suppliers.
Track product costs, landed costs, freight, duties, and other applicable costs.
Reconcile physical inventory and system inventory when required.
Ensure COGS is accurately calculated and recorded.
Record and reconcile inventory adjustments.
Work with operations to identify and resolve inventory discrepancies.
Month-End Close

Own and manage the monthly close process, including:

Credit card reconciliations
Payment processor reconciliations
Amazon and Shopify reconciliations
Sales-channel reconciliations
Accounts payable reconciliation
Accounts receivable reconciliation
Inventory reconciliation
COGS reconciliation
Accrued expenses
Balance sheet account reconciliations
Review of all major P&L accounts
Preparation and maintenance of supporting schedules
Ensuring transactions are recorded in the correct accounting period

The goal is to have clean, accurate, fully reconciled books every month.

Financial Reporting

Provide management with accurate financial reporting and visibility into:

Revenue by sales channel
Amazon sales and fees
Shopify / DTC sales
Wholesale revenue
Refunds and returns
Payment processing fees
Advertising expenses
Shipping and fulfillment costs
COGS
Gross profit
Accounts receivable
Inventory
Cash balances

The bookkeeper should be able to help management understand where revenue is coming from, what costs are associated with each channel, and how those transactions flow through the financial statements.

Experience with e-commerce accounting integrations and automated transaction feeds is strongly preferred.

Qualifications
3+ years of bookkeeping or accounting experience.
Previous experience with e-commerce businesses strongly preferred.
Hands-on experience reconciling Amazon and Shopify transactions.
Strong understanding of accounts payable, accounts receivable, bank reconciliations, and general ledger accounting.
Understanding of inventory and COGS accounting.
Strong QuickBooks Online experience.
Strong Excel / Google Sheets skills.
Excellent attention to detail.
Strong organizational and time-management skills.
Ability to identify discrepancies and investigate their source.
Ability to work independently and take ownership of responsibilities.
Ability to meet recurring deadlines, particularly monthly close deadlines.
High level of accuracy and confidentiality.
Ideal Candidate

The ideal candidate is someone who has worked with a multi-channel e-commerce or consumer products company and understands that the amount deposited into a bank account does not necessarily equal the amount of sales reported by Amazon, Shopify, or another sales platform.

You should be comfortable digging into transaction-level detail, reconciling large volumes of transactions, identifying discrepancies, and maintaining clean books across multiple sales channels.

Most importantly, you take ownership of the books.

We are not looking for someone who simply enters transactions. We need someone who will look at the numbers, understand what they mean, recognize when something is missing or doesn't make sense, and ask the right questions.

You should be able to look at our financial statements and confidently answer:

Are all of our revenues being recorded?
Are all of our costs being recorded?
Are our sales channels properly reconciled?
Are our inventory and COGS accurate?
Do our bank balances match our books?
Are there transactions or expenses missing?
Does the P&L accurately reflect how the business is performing?
Are the Balance Sheet and Cash Flow Statement accurate and reconciled?

At any point in time, we should be able to trust that our books accurately reflect what the business sold, what it spent, what it owns, what it owes, and how much cash it has.
