Ecommerce & Marketing Operations Virtual Assistant | Full Time

Chazoku is a growing Japanese matcha brand looking for a reliable, organized Virtual Assistant to support our daily ecommerce and marketing operations.

You will work directly with the owner and our existing VA to help manage creator relationships, maintain Google Sheets, track emails and follow-ups, support customers, and organize important business information.

We are looking for someone with strong written and spoken English who understands social media and ecommerce, pays close attention to details, and follows through without needing constant reminders.

Responsibilities

Help coordinate creators and affiliates, including tracking outreach, replies, samples, content submissions, and follow-ups.
Enter, update, and organize data in Google Sheets, keeping records accurate and current.
Monitor assigned email conversations, respond using our guidelines, and flag messages that need the owner’s input.
Collect and organize marketing performance data from our ecommerce and advertising platforms into established tracking sheets.
Maintain records for customer issues, claims, and other ongoing cases, including supporting documents, deadlines, and next steps.
Assist with social media comments, DMs, brand mentions, and customer support as needed.
Coordinate with our existing VA so tasks are clearly assigned and completed.
Provide brief updates on completed work, pending items, and anything that needs attention.
Help with other related administrative and ecommerce tasks as priorities change.

You will receive guidance on our products, processes, and response guidelines. Marketing responsibilities focus on tracking and reporting data. Advanced advertising experience is a bonus.

Requirements

- Strong written and spoken English, with the ability to communicate clearly with customers, creators, and our team.
- Comfortable to be on live video meeting with the team for team communication and productivity
- Proven experience with managing Amazon PPC
- Proven experience with managing Tiktok Shop GMV Max campaigns
- Experience supporting an ecommerce business, managing social media accounts, or providing online customer support.
- Comfortable using Google Sheets for data entry, sorting, filtering, and maintaining organized trackers.
- Familiar with Instagram, TikTok, Amazon, ---------- and Facebook
- Highly organized and detail oriented, especially when handling multiple conversations, deadlines, and follow-ups.
- Able to follow instructions, ask questions when something is unclear, and recognize when an issue needs to be escalated.
- Comfortable learning new tools and navigating ecommerce dashboards.
- Reliable computer, stable internet connection, and availability for occasional video calls.

Bonus Experience

TikTok Shop or affiliate and creator coordination.
Amazon Seller Central or other ecommerce platforms.
Tracking marketing or advertising performance data.
Customer claims, returns, refunds, or shipping issues.
Google Sheets formulas, reporting, or task management tools.

Schedule

Full time, approximately 40 hours per week.

Compensation

$400–$600 per month, depending on experience, plus bonuses for exceptional performance.
